About the position

Dwight-Englewood School, the largest independent school in Bergen County, NJ, is seeking a part-time Payroll Specialist with strong experience in processing payroll using the ADP Workforce Now platform and Time and Attendance module. This role is crucial for the end-to-end administration of all payroll-related functions, management of payroll data, compliance, reporting, and reconciliation. The Payroll Specialist will be an integral part of the Business Office Team, reporting directly to the Controller and collaborating closely with the Accountant and Human Resources team. The Payroll Specialist will be responsible for accurately processing semi-monthly payroll while ensuring compliance with federal, state, and local payroll, wage, and hour laws. This includes preparing relevant payroll reports for management, processing all changes to the ADP database, and ensuring that departmental allocations and ADP imports are accurate. The role also involves calculating and processing various intermittent pays and payroll deductions, reviewing employee contributions and deductions for accuracy, and maintaining accurate employee payroll records. In addition, the Payroll Specialist will ensure the accuracy of employee attendance and time off records, review periodic employer federal and state tax returns, and ensure timely and accurate payroll tax deposits. The position requires issuing W-2s and filing federal and state reports associated with employer payroll taxes, calculating fiscal year-end accruals, and preparing reports and reconciliations for annual audits. The Payroll Specialist will also work directly with the Human Resources team on employee onboarding and offboarding as it relates to payroll and benefits, identify and resolve discrepancies in payroll and employee data, and suggest improvements to payroll processes. Staying informed about changes in labor laws and adjusting payroll practices accordingly is also a key responsibility.

Responsibilities

  • Accurately process semi-monthly payroll while ensuring compliance with federal, state, and local payroll, wage and hour laws and best practices.
  • Prepare relevant payroll reports for management.
  • Process all changes to the ADP database and ensure departmental allocations and ADP import is accurate.
  • Calculate and process various intermittent pays and payroll deductions.
  • Review employee contributions and deductions for accuracy and consistency with employee election of benefits.
  • Maintain accurate employee payroll records including tax withholding forms, payroll deductions, changes in employee status and other payroll information.
  • Maintain employee data integrity and ensure confidentiality and security of data.
  • Ensure the accuracy of proper accrual and recording of employee attendance and time off.
  • Review periodic employer federal and state tax returns and ensure payroll tax deposits are timely and accurate.
  • Issue W-2's and filing of the federal and state reports that are associated with employer's payroll taxes.
  • Calculate fiscal year-end accruals and adjustments to payroll.
  • Participate in and prepare reports and reconciliations for the annual year-end financial audit, IRS 990, and 403b and Workers Compensation audits.
  • Work directly with the Human Resources team on employee onboarding and offboarding as it relates to payroll and benefits.
  • Identify and resolve discrepancies in payroll and employee data.
  • Proactive in suggesting improvements to payroll processes.
  • Stay informed about changes in labor laws and adjust payroll and benefits practices accordingly.
  • Provide support to employees for utilizing ADP self-service.
  • Develop the schedules, calendars, and communications for Payroll.
  • Other duties and special projects as required.

Requirements

  • Minimum of 5 years' experience processing payroll for at least 200 employees using ADP Workforce Now and Time and Attendance required.
  • Accounting or bookkeeping experience as it relates to payroll entries is required.
  • Working knowledge of wage and hours laws, both federal and in the state of New Jersey.
  • Clear understanding of deferred compensation plans including 403b, 457b and 457f and related wage and contribution limits.
  • Strong analytical ability, organizational skills, and attention to detail.
  • Skilled in using Excel and Google Sheets.
  • Excellent oral and written communication skills in English; bilingual is a plus.
  • Ability to work both as part of a team as well as independently and to prioritize assignments and workload.
  • A solid work ethic is expected.
  • Ability to work 24 hours per week over a 4-day work week Tuesday through Friday and be available for a flexible schedule if needed from time to time.
