About the position

The Payroll Specialist/Payroll Administrator/Payroll Analyst position at Tellus Solutions involves performing payroll functions on a bi-weekly basis in accordance with the District's Time and Labor policies and practices. The role requires generating and analyzing various payroll reports, including Wage Types, Ad Hoc Queries, employee attendance and absence reports, leave balance reports, and GL Account Balances. The Payroll Specialist will also audit payroll records to ensure compliance with Federal, State, and local laws, codes, and regulations governing payroll and accounts payable. In addition to payroll processing, the position entails auditing and ensuring the accurate entry of timesheets, printing checks and direct deposits, maintaining the check distribution list, and sorting paychecks for distribution. The Payroll Specialist will be responsible for processing paperwork for the company’s Computer Purchase Program and keeping tracking spreadsheets current. They will prepare and distribute payroll reports related to Cash Flow, Workers Compensation, Budget Listings, and FMLA Approval, as well as prepare manual checks for terminations, corrections, bonuses, and other needs. The role also requires applying union Collective Bargaining Agreement (CBA) rules and pay practices, filing as needed, and performing all job duties in a safe manner to protect themselves and others from injury or harm. The Payroll Specialist will work under the supervision of the Supervisor, Payroll, who will establish goals and objectives and evaluate performance. This position is essential for ensuring the smooth operation of payroll processes and compliance with relevant regulations.

Responsibilities

  • Perform payroll on a bi-weekly basis in accordance with the District's Time and Labor policies and practices.
  • Generate and analyze payroll reports such as Wage Types, Ad Hoc Queries, employee attendance and absence reports, leave balance reports, and GL Account Balances.
  • Audit payroll records for compliance with Federal, State, and local laws, codes, and regulations governing payroll and accounts payable.
  • Audit and ensure accurate entry of timesheets.
  • Print checks and direct deposits, and maintain check distribution list.
  • Sort paychecks for distribution and process paperwork for the company Computer Purchase Program.
  • Keep tracking spreadsheet current and prepare/distribute payroll reports including Cash Flow, Workers Compensation, Budget Listing, and FMLA Approval.
  • Prepare manual checks for terminations, corrections, bonuses, and other needs.
  • Apply union Collective Bargaining Agreement (CBA) rules and pay practices.
  • File documents as needed and perform all job duties in a safe manner.

Requirements

  • Sufficient education, training, and experience to demonstrate the knowledge and ability to successfully perform the essential functions of the position.
  • Three (3) years full-time Payroll processing experience for 500+ employees.
  • Experience with PeopleSoft Payroll or other similar computer-based Payroll products.
  • Proficiency in Microsoft Excel and other common office software such as Microsoft Word and Email.
  • Ability to work independently under minimal supervision and instruction.

Nice-to-haves

  • Union payroll experience preferred.
  • American Payroll Association certification is a plus.
  • Report writer experience is highly desirable.
