About the position

The Payroll Specialist is responsible for processing monthly payroll for district employees, ensuring accuracy and compliance with district policies. This role involves providing customer service to employees regarding payroll inquiries, maintaining confidentiality, and adhering to HIPAA regulations. The specialist will also troubleshoot payroll processing errors and assist in training new payroll staff.

Responsibilities

  • Process monthly payroll for district employees accurately.
  • Provide customer service by explaining district pay policies and answering employee questions.
  • Maintain confidentiality and adhere to HIPAA regulations and district policies.
  • Troubleshoot processing errors and escalate issues as necessary.
  • Train and guide new Payroll Specialists in customer service and performance expectations.
  • Review documentation for proper account coding and authorization.
  • Track payroll information for leaves of absence and balance leave time.
  • Administer tax levies, wage garnishments, and bankruptcy notices.
  • Review, analyze, and audit payroll changes including new hires and terminations.
  • Process retirement paperwork and communicate with PERA as necessary.
  • Conduct file searches and other research as needed.
  • Collaborate with Payroll Manager in troubleshooting payroll systems and improving procedures.

Requirements

  • High school diploma or equivalent required; associate degree or two-year college certificate in finance, business, or accounting preferred.
  • More than two years of experience processing payroll in-house for 100 or more employees.
  • Public school district payroll processing experience is a plus.
  • Ability to maintain confidentiality in all aspects of the job.
  • Strong oral and written communication skills in English.
  • Interpersonal relations skills and customer service skills.
  • Math and accounting skills.

Nice-to-haves

  • Experience with automated payroll systems, preferably Business Plus.
  • Ability to manage multiple priorities and tasks with frequent interruptions.
  • Ability to work well under pressure and meet deadlines.
