About the position

The Clerk of the Circuit Court & Comptroller is seeking a self-starter who embraces change, works well under pressure, and thrives in a fast-paced, innovative and challenging environment to join our team as a Payroll Specialist! Our Payroll department processes payroll for almost 8,000 employees. This position is essential in ensuring that payroll activities are conducted accurately and efficiently, adhering to all relevant policies and regulations. The Payroll Specialist will be responsible for regular processing of payroll activities, auditing inputs, and maintaining payroll and new hire data, including W-4 deductions and direct deposits. The role also involves preparing, processing, and auditing adjustments such as benefits deductions, garnishments, corrections, reversals, stop payments, cancellations, manual checks, retroactive changes, and final paychecks in accordance with policy and local, state, and federal laws. In addition to payroll processing, the Payroll Specialist will utilize various automated business management systems to set up deductions, new hires, process separations, and manage tax withholding. The position requires pre-auditing payroll system calculations, auditing payroll registers for accuracy, completeness, and compliance with all rules and regulations. The Payroll Specialist will assist management with training, testing, and validating the automated payroll system, as well as researching and resolving payroll accounting discrepancies and issues. This role also involves maintaining current knowledge of payroll policies and procedures, providing cross-training assistance to other unit employees, and serving as a backup to other staff as needed. The position offers opportunities for remote work on a hybrid basis after a fully onsite 6-month training period.

Responsibilities

  • Performs regular processing of payroll activities; audits inputs and maintains payroll and new hire data (W-4's, deductions, direct deposit, etc.).
  • Prepares, processes, and audits adjustments such as benefits deductions, garnishment deductions, corrections, reversals, stop payments, cancellations, manual checks, retroactive changes, and final paychecks in accordance with policy and local, state, and federal laws.
  • Utilizes various automated business management systems in processing payroll actions, including setting up deductions, new hires, processing separations, and setting up direct deposit tax withholding.
  • Processes payroll system calculations for pre-auditing of payroll data; audits and reviews payroll registers for accuracy, completeness, and conformance with all rules and regulations.
  • Assists management with training, testing, and validating the automated payroll system; researches and resolves payroll accounting discrepancies and issues, taking corrective action as needed.
  • Reviews a wide variety of documentation and reports to verify and audit for accuracy and enter in applicable payroll/human resources business systems.
  • Responds to payroll personnel and accounting inquiries; provides resolution information or direction accordingly.
  • Maintains current knowledge of payroll policies and procedures changes and updates.
  • Provides cross-training assistance and guidance to other unit employees in payroll accounting processes, department procedures, and regulatory standards governing the work; serves as backup to other staff as needed.

Requirements

  • High school diploma or GED.
  • Five (5) years of recent and relevant payroll experience that demonstrates knowledge of payroll processing and reporting.
  • Excellent communication skills, both written and verbal.
  • Good problem-solving and time management skills.
