About the position

The Payroll Specialist is responsible for managing and processing the company's payroll operations with precision and efficiency. This role ensures that all employees are paid accurately and on time, in compliance with federal, state, and local regulations. The Payroll Specialist also plays a key role in maintaining payroll records, resolving payroll issues, and assisting with audits. This position requires a keen attention to detail and a strong understanding of payroll processes and regulations. The ideal candidate will be proactive in identifying opportunities for process improvements and efficiencies within payroll operations, and will collaborate closely with HR and Finance teams to resolve any discrepancies. Additionally, the Payroll Specialist will participate in payroll system upgrades and testing, and will be responsible for training and supporting staff on payroll-related matters as needed.

Responsibilities

  • Collect, verify, and enter employee data (e.g., hours worked, leave, deductions) into the payroll system.
  • Process bi-weekly/weekly/monthly payroll, ensuring accuracy and timeliness.
  • Calculate wages, benefits, bonuses, and deductions for employees.
  • Ensure compliance with applicable laws and company policies.
  • Maintain accurate payroll records and employee information in the payroll system.
  • Update payroll system with new hires, terminations, and changes to pay rates.
  • Reconcile payroll prior to transmission and validate confirmed reports.
  • Prepare and file payroll tax reports (e.g., quarterly and annual filings).
  • Stay updated on changes in payroll laws and regulations to ensure compliance.
  • Assist with internal and external audits related to payroll.
  • Address employee inquiries regarding payroll, deductions, benefits, and leave balances.
  • Provide payroll information to employees as requested.
  • Collaborate with HR and Finance to resolve any payroll discrepancies.
  • Identify opportunities for process improvements and efficiencies within payroll operations.
  • Participate in payroll system upgrades and testing.
  • Train and support staff on payroll-related matters as needed.

Requirements

  • Minimum of 2-3 years of experience in payroll processing or a related role.
  • Experience with payroll software.
  • Multistate and union payroll experience.
  • Knowledge of payroll tax laws and regulations.
