The Payroll Specialist at Sudberry Properties, Inc. plays a crucial role in managing all aspects of payroll processing for the company and its related entities. This position operates under the general direction of the Human Resources Manager and the CFO, ensuring that payroll is prepared, processed, paid, and reported accurately and in a timely manner. The ideal candidate will possess a keen attention to detail, strong math skills for necessary calculations, and excellent communication abilities to effectively carry out payroll procedures with speed and accuracy. In this role, the Payroll Specialist will be responsible for preparing and processing payroll, which includes calculating taxes, bonuses, commissions, deductions, and benefits for both exempt and non-exempt employees. The specialist will also respond to agency requests such as unemployment and disability claims, verification of employment, and garnishments in a timely manner. Maintaining accurate payroll records is essential, including tax withholding, benefits deductions, leaves of absence, 401k contributions, and garnishments. The Payroll Specialist will prepare requested documents and reports for annual workers' compensation audits and will educate managers and employees on payroll and timekeeping processes through regular training sessions. Acting as the primary liaison for payroll inquiries, the specialist will resolve employee issues related to payroll and will review and submit year-end ACA reporting, distributing 1095 forms to current and former employees. Additionally, the Payroll Specialist will actively participate in identifying opportunities for process improvements to enhance efficiency and support payroll operations. This includes creating new hire folders, ensuring all employment-related documents are properly retained, and preparing and submitting year-end employer match and profit-sharing for the 401k plan. The role requires close collaboration with Human Resources while maintaining a high level of discretion and confidentiality when handling sensitive employee information. The specialist will also review and reconcile quarterly and annual employer tax returns and monitor wage and hour law updates to ensure compliance. Other administrative tasks and projects may be assigned as needed.

Responsibilities

  • Prepare and process payroll, including calculating taxes, bonuses and commissions, deductions, and benefits for both exempt and non-exempt employees.
  • Respond to agency requests (unemployment and disability claims, verification of employment, garnishments, etc.) in a timely manner.
  • Ensure accurate and timely processing of payroll updates, including new hires, terminations, and all related status change forms.
  • Reconcile all benefit monthly billing and deferred compensation against payroll system.
  • Maintain and update payroll records, including tax withholding, benefits deductions, LOA, 401k and garnishments.
  • Prepare requested documents and reports for annual workers compensation audits.
  • Educate managers and employees on appropriate payroll and timekeeping processes, holding regular training sessions as required.
  • Act as the primary liaison to payroll in resolving employee inquiries and issues related to payroll.
  • Review and submit year-end ACA reporting and distribute 1095 forms to current and former employees.
  • Identify opportunities and implement process and procedure improvements to increase efficiency and support payroll operation changes.

Requirements

  • Associate's degree in accounting, business, human resources, or related field.
  • Minimum of 2 years of experience in payroll processing.
  • Proficient in Microsoft Word and Outlook.
  • Intermediate- to advanced-level experience with Microsoft Excel, including experience with conditional formulas.
  • Excellent data entry skills with high attention to detail and accuracy.
  • Strong knowledge of principles of payroll cycle along with applicable state and federal laws, rules, and regulations related to payroll preparation, processing, and reporting.
  • Knowledge of Federal Form W-2 Reporting Form and ACA Reporting requirements.
