About the position

The Payroll Specialist at NAES Corporation is responsible for ensuring accurate and timely payroll processing for employees, particularly for complex payrolls. This role involves reviewing timesheets, calculating adjustments, and managing wage attachments while providing excellent customer service regarding payroll inquiries. The position requires a strong understanding of multi-state payroll processing and compliance with relevant laws and regulations.

Responsibilities

  • Review employee timesheet submissions to ensure compliance with HR policies.
  • Calculate special adjustments such as temporary upgrades and military pay.
  • Key and review weekly and biweekly payroll batches for assigned employees.
  • Investigate and resolve discrepancies in payroll records.
  • Run reports to ensure time off taken does not exceed employee balances.
  • Calculate partial benefit accruals for new hires and terminated employees.
  • Complete wage and salary information forms as required by employees or governmental authorities.
  • Run reports requested by internal partners.
  • Complete weekly payroll checklists to ensure accuracy and document process controls.
  • Prepare manual checks as needed by calculating gross to net and printing checks via Ultimate Software.
  • Manage wage attachments, including setup and follow-up with third-party vendors.
  • Act as backup to the payroll tax analyst during high volumes and absences.
  • Provide customer service by resolving payroll-related inquiries and issues.
  • Perform special projects and other payroll duties as assigned.

Requirements

  • Associates degree in accounting or equivalent education and/or experience is preferred.
  • Three to five years' experience in payroll, including multi-state payroll tax and garnishments.
  • Knowledge of multi-state payroll processing and wage and hour laws.
  • Knowledge of multi-state payroll taxes, including completion and filing of state and federal tax returns and W2s.
  • Proficient in operating a ten key, Excel, and general computer literacy.
  • Experience with Ultimate Software and various Time & Attendance payroll systems is desirable but not required.
  • Strong verbal and written communication skills.
  • Excellent interpersonal, organizational, and time management skills.
  • Attention to detail and ability to maintain payroll confidentiality.
