About the position

The Payroll Specialist is responsible for processing complete and accurate payroll in a timely manner. This role involves developing, implementing, and maintaining payroll processes to ensure accurate accounting for payroll transactions. The specialist will prepare, reconcile, and analyze payroll data, ensuring compliance with payroll policies and regulations while acting as a liaison between the company and external parties.

Responsibilities

  • Implement, maintain, and review payroll processing systems to ensure timely and accurate processing of payroll transactions.
  • Ensure accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
  • Ensure accurate and timely payroll distribution.
  • Update payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, and job titles.
  • Prepare and maintain accurate records and reports of payroll transactions.
  • Maintain confidentiality of payroll operations.
  • Stay informed about federal, state, and local labor laws and regulations.
  • Ensure compliance with payroll, wage and hour laws, and internal policies.
  • Prepare and file payroll-related tax documents.
  • Resolve payroll discrepancies and answer team member inquiries.
  • Investigate and resolve payroll-related issues or concerns.
  • Identify and recommend updates to payroll processing software and procedures.
  • Generate and analyze payroll reports for management.
  • Provide financial data for budgeting and forecasting purposes.
  • Facilitate audits by providing records and documentation to auditors.
  • Collaborate with HR, finance, and other departments to ensure payroll accuracy.
  • Communicate changes in payroll policies and procedures to team members.

Requirements

  • Bachelor's degree in Accounting, Business Administration, Human Resources, or related discipline required.
  • 3+ years progressive payroll experience required.
  • Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
  • Strong computer aptitude, including expertise with Microsoft Excel.
  • Ability to manipulate Excel files for importing data.
  • Proficient with payroll software, with experience in Paycor payroll system being a huge plus.

Nice-to-haves

  • FPC (Fundamental Payroll Certification) or CPP (Certified Payroll Professional) is preferred.
