About the position

The Payroll Specialist is responsible for overseeing the complete payroll function, ensuring timely and accurate payroll processing in compliance with government regulations. This role collaborates closely with HR, Finance, and Accounting teams to analyze payroll data and provide reporting for decision-making purposes.

Responsibilities

  • Process bi-weekly payroll including wages and overtime calculations, deductions, and tax withholdings.
  • Process off-cycle payments, retroactive adjustments, garnishments, and levies.
  • Calculate appropriate tax withholdings for all employees across the U.S.
  • Coordinate with HR to calculate salary/benefits adjustments.
  • Maintain accurate employee records, including changes to personal information and benefits.
  • Verify and process timekeeping data, including paper timesheets and electronic time management systems.
  • Troubleshoot payroll issues, ensuring timely and accurate paychecks.
  • Lead state taxes registration process and ensure regulatory compliance regarding payroll obligations.
  • Stay up to date with changes in payroll laws and regulations.
  • Coordinate tax filings for multiple locations, including federal, state, and local taxes.
  • Prepare payroll reconciliations, quarter-end, and year-end reports for Controller's approval.
  • Verify and reconcile W-2s with the Controller.
  • Prepare monthly and quarterly compensation reports for review and approval.
  • Conduct compensation analysis, including year-over-year and year-to-date tracking.
  • Collaborate with HR, Accounting, and Finance teams to provide accurate data for strategic decision-making.
  • Provide support for audits preparations, including funder's audits and external annual audits.
  • Assist employees with payroll-related inquiries and provide support for new hire onboarding related to payroll.
  • Develop tools, templates, and guidelines to streamline payroll processes.

Requirements

  • Bachelor's degree in relevant discipline (finance, accounting, business) or equivalent professional experience.
  • 5 years of relevant experience processing payroll and liaising with payroll systems and providers.
  • Experience with payroll software, preferably ADP.
  • Extensive knowledge of federal, state, and local payroll tax regulations and experience with state registrations and filings.
  • High proficiency in Microsoft Excel and experience with MS Office.
  • Experience with project management/task management software (like Asana) is a plus.
  • Ability to handle confidential information with discretion and professionalism.
