About the position

The Payroll Specialist plays a crucial role in supporting the Accounting Department at the Society of St. Vincent de Paul by managing payroll processes, maintaining budgets, and assisting with month-end closings. This part-time position, limited to 29 hours per week, requires a detail-oriented individual who can handle various finance-related duties effectively. The Payroll Specialist will report directly to the Senior Accounting Analyst and the CFO, ensuring that all payroll functions are executed accurately and in a timely manner. Key responsibilities include processing payroll through a third-party vendor, managing benefits payments, and conducting quarterly reconciliations of payroll accounts. The specialist will also be responsible for completing required payroll reporting, including Multiple Worksite Reports and annual audits, while maintaining accurate payroll documentation for grant reimbursements and year-end auditing purposes. Additionally, the role involves assisting in month-end closings by completing account reconciliations and preparing necessary adjusting journal entries. The Payroll Specialist will maintain monthly spreadsheets and schedules of accounts, ensuring that all financial records are up-to-date and accurate. This position also requires the ability to manage manual spreadsheets for reconciliations and auditing purposes, as well as assisting with the preparation of annual budgets. Other duties may be assigned as needed, all related to the daily finances of the organization, making this a dynamic and integral role within the team.

Responsibilities

  • Process payroll through a third-party vendor
  • Process benefits payments
  • Conduct quarterly reconciliations of payroll accounts
  • Complete required payroll reporting (Multiple Worksite Reports, annual audits)
  • Maintain accurate payroll documentation for grant reimbursements and year-end auditing purposes
  • Assist in month-end closings by completing account reconciliations and composing journal entries
  • Maintain monthly spreadsheets and schedules of accounts and prepare necessary adjusting journal entries
  • Maintain manual spreadsheets for reconciliations and auditing purposes
  • Assist with annual budgets
  • Perform other duties as assigned related to the daily finances of the organization

Requirements

  • High School diploma required, Associate's or Bachelor's degree preferred
  • Minimum 3 years accounting experience preferred
  • Strong technical skills including comfort with Microsoft Office (Word and Excel)
  • Strong payroll accounting knowledge base
  • Accounting software experience (Abila) is a plus
  • Exceptional mathematical and calculation skills
  • Ability to work independently and as part of a team
  • Knowledge of general office protocols, practices and equipment
  • Strong communication skills (written and verbal)
  • Possess good organizational skills
  • Multitasking abilities
  • Must be attentive to detail, reliable, and able to follow standard filing procedures
