About the position

The Payroll Specialist at Sandhills Community College is responsible for the timely and accurate preparation of the college's monthly payroll and associated reporting. This role involves maintaining payroll records, processing payroll for full-time and part-time employees, and ensuring compliance with payroll tax regulations. The position requires collaboration with the Human Resources department and other stakeholders to ensure accurate payroll processing and reporting.

Responsibilities

  • Organizes and maintains contracts, personnel data, and any other information required to process payroll.
  • Maintains spreadsheets of full-time employee payroll register, including salaries and deductions.
  • Maintains spreadsheet of salary for annual budgetary purposes and preparation of annual employee contracts.
  • Maintains benefit spreadsheets and reconciles to monthly invoices to ensure employee deductions are accurate and works with Accounts Payable to process vendor payments.
  • Enters all Personnel Action Forms for new positions and/or position modifications.
  • Prepares and processes full-time and part-time payroll, including transmitting direct deposits and processing/printing payroll checks and all related monthly payroll reports as needed.
  • Responsible for payroll tax (Federal 941 and NC Withholding), W-2 processing, and being the primary contact for payroll tax exceptions including foreign nationals, students (FWS), out-of-state employees and any other exceptions.
  • Maintains encumbrance payroll system on a timely basis and verifies for accuracy.
  • Assists with workers' compensation annual audit.
  • Prepares annual longevity and IPEDS reports.
  • Works closely with Human Resources department to ensure employee changes are reflected accurately in payroll system.
  • Ensures compliance and confidentiality with all policies and procedures of the College, NC Community College System, and applicable State and Federal agencies.
  • Helps and supports colleagues and students in achieving their goals and success.
  • Performs other duties as assigned.

Requirements

  • High school diploma required; an associate degree in business, accounting, or finance preferred.
  • At least two years of experience in accounting or business preferred.
  • Ability to work well with hardware and software related to personal computers.
  • Strong communication skills and ability to establish and maintain open communication.
  • Punctuality and a strong work ethic are essential.
  • Ability to establish effective working relationships with stakeholders, students, and colleagues.
