About the position

The Payroll Specialist will play a crucial role in ensuring the accurate and timely processing of bi-weekly and semi-monthly payrolls. This position involves providing administrative support to the Payroll Manager on various payroll tasks. The Payroll Specialist will be responsible for preparing pre and post-processing payroll reports, which will be distributed to managers for reconciliation and approval. Additionally, the role requires auditing and reconciling time and attendance data for both staff and physicians, ensuring that all discrepancies are resolved efficiently by collecting and analyzing relevant information. The specialist will also be tasked with maintaining payroll operations by adhering to established policies and procedures, reporting any necessary changes to maintain compliance and efficiency. Confidentiality is paramount in this role, as the Payroll Specialist will be responsible for maintaining employee confidence and protecting sensitive payroll information. The position also involves contributing to team efforts by accomplishing related results as needed, coordinating timekeeping and payroll systems, and creating and maintaining Standard Operating Procedures (SOPs) and payroll calendars. Training new payroll specialists is also a key responsibility, ensuring that the team is well-equipped to handle payroll tasks effectively. Other essential duties include processing contractual and other pay-related functions, maintaining payroll records, managing wage attachments for child support and garnishments, processing voids and reversals, and handling returned bank items. The Payroll Specialist will also enter reimbursement requests for expenses, including mileage and CME/CEU, and will be responsible for historical corrections of timecards, calculation of retro pay, proration of salaries, and tracking overpayment repayment plans. Managing the payroll mailbox and performing other duties as assigned will also be part of the role.

Responsibilities

  • Ensure accurate and timely processing of bi-weekly and semi-monthly payroll
  • Prepare pre and post processing payroll reports and distribute to managers for reconciliation and approval
  • Audit/reconcile time and attendance data for staff and physicians
  • Resolve payroll discrepancies by collecting and analyzing information and responding to inquiries via email or phone
  • Provide payroll information by answering questions and requests
  • Maintain payroll operations by following policies and procedures; reporting needed changes
  • Maintain employee confidence and protect payroll operations by keeping sensitive information confidential
  • Contribute to team effort by accomplishing related results as needed
  • Coordinate timekeeping & payroll systems
  • Create and maintain Standard Operating Procedures (SOPs) and payroll calendars
  • Train new payroll specialists
  • Ensure accurate and timely processing of contractual and other-pay related functions
  • Maintain payroll records, set up and manage wage attachments for child support/garnishments
  • Process void/reversals, stop payments, returned bank items
  • Enter reimbursement requests for expenses including mileage and CME/CEU
  • Perform historical correction of timecards
  • Calculate retro pay, proration of salaries, tracking of overpayment repayment plan
  • Manage payroll mailbox
  • Other duties as assigned

Requirements

  • Relevant degree or equivalent experience preferred
  • 2+ years of experience in payroll administration, HR support
  • Health care experience helpful
  • Ability to work independently with tight timelines and multiple priorities in a fast-paced environment
  • Knowledge of employer sponsored benefit plans (health, 401k, STD, LTD, etc) and statutory programs (unemployment, workers compensation)
  • Capable of a 'hands on' approach at all levels
  • Proficient in Microsoft applications (Word, Excel and PowerPoint)
  • Knowledge of HRIS/ Payroll Systems preferably UKG PRO & Dimensions
