We are excited to welcome a Payroll Specialist to our New York team. In this dual role, the Payroll & Equity Specialist will play a crucial role in ensuring the accurate and efficient processing of our semi-monthly payroll using Ceridian Dayforce. As the primary contact for payroll and equity matters, you will support our North American colleagues in the US and Canada and serve as a vital partner to our internal People Operations and Finance teams. Your contributions will be essential in maintaining compliance, driving process improvements, and supporting our employees. As our Payroll Specialist, you'll be overseeing end-to-end semi-monthly payroll for 700+ employees in a multi-state environment plus a small Canadian population. You will be responsible for the operational instruction and transmittal of outsourced semi-monthly multi-state payroll for our US employees, as well as our Canadian population. You'll be the key point of contact and data for our data vendors, providing them with recurring reports and other information as needed. Additionally, you will liaise directly with authorities to resolve discrepancies, ensure Federal, State, and Local tax compliance, and support our 401k audits, including compiling data and investigating queries. You will also advise and support on US acquisition projects to ensure smooth payroll transfer, process tax adjustments as needed, and handle year-end W2 filing. Periodic reporting to third parties will be part of your responsibilities, and you will keep up to date with legislative changes, working with our technical team to ensure updates are made to the payroll software. Furthermore, you will manage hourly employees' payroll using our integrated time and attendance software and support People Operations Generalists with general benefits administration in relation to payroll. In the equity aspect of your role, you will support the day-to-day administration of our equity program, including reviewing, updating, and maintaining accurate records of equity grants. You will provide direct support and partner with key stakeholders in our Finance, Legal, and People teams, serving as a point of contact for our partnership with the Global Shares team. Responding to employee and leadership questions regarding our company programs and supporting company communications around our equity programs will also be part of your duties.

Responsibilities

  • Oversee end-to-end semi-monthly payroll for 700+ employees in a multi-state environment and a small Canadian population.
  • Operational instruction and transmittal of outsourced semi-monthly multi-state payroll for US and Canadian employees.
  • Serve as the key point of contact for data vendors, providing recurring reports and information as needed.
  • Liaise with authorities to ensure Federal, State, and Local tax compliance and resolve discrepancies.
  • Compile data and investigate queries for 401k audits.
  • Advise and support on US acquisition projects to ensure smooth payroll transfer and aid legacy closures.
  • Process tax adjustments and year-end W2 filing as needed.

  • Stay updated with legislative changes and work with the technical team to ensure payroll software updates.
  • Process garnishments, monopolistic workers compensation, union payments, and leave of absence payments.
  • Manage hourly employees' payroll using integrated time and attendance software.
  • Support People Operations Generalists with general benefits administration related to payroll.
  • Support the day-to-day administration of the equity program, including maintaining accurate records of equity grants.
  • Provide support and partnership with key stakeholders in Finance, Legal, and People teams.
  • Respond to employee and leadership questions regarding company equity programs.
  • Support company communications around equity programs.

Requirements

  • 3+ years experience in payroll and ideally in equity administration.
  • Strong knowledge of multi-state US/Canadian statutory legislation.
  • Excellent data skills, specifically in Excel/Sheets.
  • Strong customer service skills and a can-do attitude.
  • Payroll qualifications are desirable, as is experience using Dayforce.
  • Experience with equity platforms and public company share plans.
