About the position

The Payroll Specialist plays a crucial role in administering the payroll function for our organization, reporting directly to the Manager of Payroll. This position is designed for individuals who are eager to learn new technologies and apply them effectively in their daily tasks while maintaining a high level of data entry accuracy. The Payroll Specialist will collaborate with internal customers, People Team members, and other payroll team members to understand business requirements and the configuration of payroll and timekeeping systems. The role is essential in ensuring that employees are compensated accurately and on time, contributing to the overall mission of the organization to provide care to injured workers. In this position, the Payroll Specialist will be responsible for collecting, verifying, and storing payroll data related to bi-weekly payroll and weekly temporary associate payroll. This includes managing information for new hires, terminations, job changes, and direct deposit changes, among others. The role requires a meticulous approach to data entry and reconciliation of payroll reports to ensure accuracy before payroll is processed. The Payroll Specialist will also be involved in setting up new tax codes, assisting with tax filings, and preparing quarterly and year-end tax adjustments. Additionally, the Payroll Specialist will support audits, coordinate month-end processing, and provide payroll information to colleagues. The position also involves administrative duties, such as applying knowledge of company policies to assist internal customers with non-routine requests and recommending process improvements. The ideal candidate will possess strong problem-solving skills and the ability to maintain confidentiality while handling sensitive payroll information.

Responsibilities

  • Collect, verify, and store company payroll data related to bi-weekly and weekly payroll.
  • Maintain updates and inputs required information in the timekeeping system.
  • Review data entry for accuracy and reconcile separate files to payroll reports.
  • Prepare and reconcile pre/post payroll reports to ensure accuracy of payroll data.
  • Compute wages, taxes, and deductions as needed.
  • Set up new state and local tax codes and assist with accurate filings.
  • Interface regularly with third-party payroll, tax, and verification vendors.
  • Collaborate with team members for cross-functional payroll learning and coverage.
  • Support monthly, quarterly, and yearly audits and coordinate month-end processing of reports.
  • Provide payroll information by answering questions and requests.
  • Comply with federal, state, and local legal requirements regarding payroll.
  • Maintain confidentiality of payroll operations and colleague information.
  • Apply knowledge of company policies to provide guidance to internal customers.
  • Act as an escalation point for resolving complex colleague issues.
  • Respond to vendor and employee verification of employment requests.

Requirements

  • Associate's degree in Accounting or Finance or related program preferred.
  • 2-4 years of related and relevant work experience.
  • Experience with UltiPro Payroll and/or Kronos timekeeping systems.
  • Active and knowledgeable Excel user, including VLOOKUP, pivot tables, and formulas.
  • Self-sufficient with the ability to think critically and problem-solve.
  • Working knowledge of federal and state tax regulations impacting payroll.
  • Ability to maintain confidentiality.
