About the position

The Payroll Specialist at Bartell Hotels is a full-time role responsible for processing payroll for over 900 employees, ensuring accurate and timely compensation while adhering to payroll regulations. This position requires strong attention to detail and collaboration with various stakeholders, including the Corporate Controller and hotel Controllers. The role is office-based, emphasizing a supportive work culture that values employee development and diversity.

Responsibilities

  • Utilize the ADP system to accurately process bi-weekly payroll for all employees.
  • Ensure compliance with federal, state, and local payroll laws and regulations.
  • Calculate and deduct taxes, benefits, and other deductions using ADP.
  • Ensure garnishments, levies, and child support orders are entered into ADP.
  • Generate manual checks in a timely and accurate manner.
  • Troubleshoot timecards, profiles, and settings in Time & Attendance software.
  • Work with health insurance carrier to set up employee elections in ADP during open enrollment.
  • Ensure employees with changes to benefits elections are accurately set up in ADP.
  • Reconcile benefit invoices and prepare payments due for Accounts Payable to process.
  • Generate payroll reports for management, including summaries and detailed reports on payroll expenses.
  • Assist with audits related to payroll and benefits.
  • Stay informed about changes in payroll regulations and tax laws.
  • Assist in the preparation of year-end payroll reports, including W-2s and 1099s.
  • Coordinate 940, 941 amendments with ADP, as needed.
  • Complete Sales by Server analysis and adjust withholding as needed.
  • Assist hotel controllers with Time & Attendance settings and functions.
  • Respond to employee inquiries regarding payroll and benefits questions.
  • Research and resolve payroll-related inquiries from management.
  • Assist with the onboarding process to ensure accurate payroll setup for new hires.
  • Serve as the point of contact for unemployment services and employment verification.

Requirements

  • 5+ years of experience with responsibility for high volume company payroll
  • 2+ years of experience using ADP
  • Familiarity with Time & Attendance or similar timecards tracking software
  • Solid knowledge of federal and California wage & hour laws
  • Strong Excel skills
  • Highly organized self-starter
  • Excellent attention to detail and accuracy
  • Strong communication and interpersonal skills
  • Bachelor's degree in accounting, finance, or related field preferred
  • Trustworthiness and ability to handle confidentiality is paramount.
