About the position

The Payroll Specialist at Tuskegee University is responsible for assisting in the daily operations of payroll processing, ensuring timely and accurate payroll for university employees. This role involves analyzing payroll adjustments, resolving discrepancies, and serving as the main point of contact for payroll-related inquiries. The specialist will collaborate closely with the Human Resources Department and maintain compliance with internal controls related to payroll preparation.

Responsibilities

  • Analyze, process, and maintain all payroll adjustments, leave payouts, and corrections.
  • Identify payroll discrepancies and resolve issues in a timely manner with the Office of Human Resources.
  • Serve as the university liaison to obtain necessary information for payroll transactions and ensure timely employee payments.
  • Provide high-level customer service to staff and faculty regarding payroll inquiries via phone, email, or in-person.
  • Meet deadlines while managing mid to high volume payroll cycles in coordination with the Payroll Manager.
  • Process paperwork for all employee types, ensuring accuracy and completeness of submitted documents.
  • Maintain payroll records and verify address change forms from HR are entered correctly into the system.
  • Run and save bi-weekly leave accruals, review reports for negative balances, and communicate adjustments to employees and supervisors.
  • Work closely with Payroll Compliance Coordinator and Accounting Manager to complete payroll processes at fiscal and calendar year-end.
  • Ensure compliance with internal controls related to payroll preparation and collaborate with HR for accurate data utilization.
  • Monitor the Payroll email account and perform other duties as assigned.

Requirements

  • Associate's degree in business or accounting (required).
  • 2-3 years minimum payroll experience (required).
  • Bachelor's degree in business or accounting (preferred).
  • Five years or more payroll experience (preferred).
  • Two years of college/university accounting experience (preferred).

Nice-to-haves

  • Knowledge of numerous deductions and their effect on withholding tax computations.
  • Experience with computerized office tools such as Excel, PowerPoint, and Word.
