About the position

The Payroll Specialist at Eastern New Mexico University - Roswell is responsible for coordinating the preparation, recording, and disbursement of all wages, salaries, and various payroll transactions. This role involves ensuring the accurate distribution of payroll checks and managing payroll liabilities. The Payroll Specialist will work closely with the Supervisor of Payroll and will be expected to handle inquiries and resolve complaints related to payroll matters. This position requires a strong understanding of payroll policies and practices, as well as excellent customer service skills. The Payroll Specialist will also be responsible for processing non-exempt employee bi-weekly payrolls using the Banner system, creating and maintaining payroll-supporting reports, and managing employee payroll files. Additionally, the role includes reconciling insurance statements, assisting employees with insurance questions, and processing retirement forms as required by various retirement systems. The Payroll Specialist will also monitor the lobby and direct guests to the appropriate areas, ensuring a welcoming environment for all visitors. This position is essential for maintaining the integrity and efficiency of the payroll process within the university.

Responsibilities

  • Processes all payroll liabilities and reconciles to general ledger.
  • Responds to inquiries and assists in the equitable solution of complaints, concerns and problems in the area of payroll.
  • Process non-exempt employee bi-weekly payrolls using Banner system.
  • Create, design, prepare and maintain payroll-supporting computer reports.
  • Scanning, Indexing and filing of master Payroll files.
  • Inputs payroll information for each employee.
  • Checks hours on student and hourly timesheets to assure accuracy.
  • Manual input of hours when deemed necessary.
  • Maintains and updates employee payroll files as necessary.
  • Performs all transactional duties in relation to administering insurance benefits.
  • Reconcile insurance statements and other liabilities.
  • Assist employees with insurance questions.
  • Assists with the processing and verification of retirement forms as required by all retirement systems.
  • Process all bi-weekly payrolls and monthly/quarterly reports in the absence of the department supervisor.
  • Monitor lobby and directing guests to appropriate area.
  • Performs other duties as deemed necessary or assigned.

Requirements

  • Associates degree and two years of experience, or equivalent years of experience and/or Training/Education directly related to the position.
  • Knowledge of the principles, problems, and methods of payroll policies and practices.
  • Excellent customer service and written and verbal communication skills.
  • Knowledge of computer-based programs to include experience with database query and report writing and payroll software packages.
  • Ability to independently perform the professional, technical, and administrative functions required in the efficient operation of a major payroll office.
  • Ability to manage and work with sensitive and confidential information.
  • Ability to work with integrity, think analytically and process data accurately.
  • Ability to plan, organize, and take initiative to complete job duties and responsibilities and meet deadlines.
