About the position

Silvus Technologies is seeking a detail-oriented Payroll Specialist to join our team. This role is crucial in overseeing and managing the end-to-end payroll process for our workforce, ensuring accuracy and compliance with federal and California state wage policies. The Payroll Specialist will report directly to the Human Resources Manager and will be responsible for maintaining the payroll system, managing HRIS, and verifying timekeeping records. The ideal candidate will possess strong communication and interpersonal skills, allowing them to effectively address employee inquiries and concerns regarding payroll matters. Attention to detail and thoroughness are essential for this position, as the Payroll Specialist will be tasked with preparing paychecks, filing required reporting documents, and auditing employee timesheets for accuracy. In this role, the Payroll Specialist will maintain employee pay records, review and audit time sheets, and prepare payroll journal vouchers. They will also be responsible for processing withholdings, deductions, and wage garnishments, as well as managing changes affecting net wages. The position requires interaction with department management to resolve payroll-related issues and ensure timely benefits enrollment and payroll deductions. The Payroll Specialist will serve as the subject matter expert on payroll administration policies and practices, staying current with relevant regulations and laws. This position is hybrid, requiring a minimum of three days onsite per week at our headquarters in West Los Angeles, specifically on Mondays, Wednesdays, and Thursdays.

Responsibilities

  • Maintain the payroll system and employee pay records.
  • Post and distribute time and attendance records.
  • Review, audit, and correct time sheets.
  • Prepare paychecks and file required reporting documents accurately and timely.
  • Demonstrate understanding of federal and California state wage policies and regulations.
  • Audit employee timesheets for completeness and accuracy.
  • Prepare payroll records for posting to the general ledger.
  • Reconcile payroll records to the general ledger and resolve related issues.
  • Prepare payroll journal vouchers and routine/special reports as necessary.
  • Process withholdings, deductions, and wage garnishments.
  • Manage changes affecting net wages such as exemptions and insurance coverage.
  • Prepare payroll tax deposits and process forms for benefits administration.
  • Interact with department management regarding payroll issues.
  • Address and resolve payroll-related inquiries in a timely manner.
  • Process checks tied to resignation, termination, and/or severance.
  • Support internal and external audits and prepare month-end journal entries related to payroll.
  • Work closely with HR team members for timely benefits enrollment and payroll deductions.
  • Maintain payroll operations according to company policies and procedures.
  • Distribute W-2 forms and process employment verification.

Requirements

  • Bachelor's degree in finance, accounting, business administration, or related field with a minimum of 7 years of payroll processing experience, primarily using Paylocity.
  • Or an associate degree with 10 years of payroll processing experience, primarily using Paylocity.
  • Extensive knowledge of federal and California state laws and local regulations pertaining to wage and hour compliance, particularly FLSA and California wage order requirements.
  • Proficient in Google Suite and Microsoft Office.
  • Outstanding organizational and analytical ability with great attention to detail.
  • High level of integrity and professionalism, with a strong work ethic and commitment to confidentiality.
  • Excellent time management and communication skills.
