About the position

The Payroll Specialist is responsible for managing all payroll-related functions within the organization, ensuring compliance with federal, state, and local regulations. This role involves processing multi-state payroll, providing guidance on best practices, and maintaining positive relationships with employees and stakeholders. The specialist will also collaborate with third-party service providers and legal teams to ensure accurate payroll tax remittances and resolve discrepancies with tax agencies.

Responsibilities

  • Process multi-state payroll and provide value-added advice regarding global payroll processing, particularly in India.
  • Ensure accuracy in the processing of federal, state, and local taxes, social security contributions, employee benefit contributions, fringe benefits, garnishments, and other deductions.
  • Provide excellent customer service to employees and stakeholders regarding payroll inquiries or concerns.
  • Process and communicate garnishment information to all relevant parties.
  • Work with a third-party service provider to ensure compliance with federal, state, and local legal requirements.
  • Monitor and complete tax filings on a timely basis as necessary.
  • Coordinate with legal team members for the establishment of new state legal entity registrations for payroll tax remittances.
  • Research payroll tax payments and discrepancies with federal, state, and local agencies, and work towards timely resolution.
  • Assist in leading process enhancements to develop a best-in-class payroll process.
  • Support the accounting department with month-end, quarterly, and year-end closing and external audit processes related to payroll.
  • Conduct ad hoc reporting related to labor distribution and other payroll attributes.
  • Coordinate yearly activities such as W-2 preparation and compensation-related account reconciliations.
  • Assist with the 1099 process.
  • Perform other duties and responsibilities as assigned.

Requirements

  • 7-10 years of related payroll experience.
  • A minimum of a bachelor's degree.
  • Strong experience with Workday is preferable.
  • Experience executing semi-monthly payroll processing for a company with 600+ full-time employees and over 300+ hourly workers.
  • Thorough understanding of payroll rules and regulations.
  • Proven ability to complete work accurately and with attention to detail.
  • Ability to manage multiple tasks under tight deadlines.
