About the position

The Payroll Specialist plays a crucial role in the Finance Team, responsible for overseeing the bi-weekly payroll process for over 150 employees across three states. This position requires collaboration with Human Resources and Managers to ensure timely and accurate payroll processing, maintaining precise time-keeping records, and generating various reports post-payroll processing. The role also involves participation in audits and compliance documentation, making it essential for the smooth operation of payroll functions.

Responsibilities

  • Oversee the bi-weekly payroll process for over 150 employees across three states.
  • Collaborate with Human Resources and Managers to ensure timely and accurate payroll processing.
  • Maintain precise time-keeping records and generate various payroll reports post-processing.
  • Participate in audits, including workers' compensation and 401(k) audits.
  • Comply with reporting, procedures, and regulatory requirements related to payroll.
  • Prepare, review, analyze, and process the company bi-weekly payroll, including pay changes and payroll deductions.
  • Process commissions and special payrolls, ensuring accurate updates to payroll files.
  • Handle error detection, adjustments, and off-cycle checks for payroll.
  • Prepare, print, and file payroll reports while maintaining accurate records.
  • Update and maintain various payroll-related reports, including production hours and wages.
  • Process and reconcile 401(k) deferrals and matches, and assist with annual audits.
  • Maintain interactions with state and federal agencies regarding employee wage and tax liens and garnishments.
  • Assist with creating and maintaining process documentation for payroll systems to meet internal controls and SOX requirements.
  • Provide payroll customer service to managers and employees regarding payroll inquiries and issues.

Requirements

  • 2-3 years of payroll or closely related experience.
  • Associate's degree in accounting, business, or a related field preferred.
  • Experience using ADP Workforce Now and QuickBooks is preferred.
  • Strong mathematical skills and proficiency in Microsoft Office, especially advanced Excel.
  • Detail-oriented with strong analysis and problem-solving skills.

Nice-to-haves

  • Experience in SOX compliance is a plus.
  • Ability to thrive in a flexible work environment and adapt to change.
