The Payroll Specialist plays a crucial role in the payroll team, ensuring the timely setup of employees and the accurate processing of payroll. This position is responsible for leading the reconciliation and analysis of payroll-related accounts, which is essential for maintaining the integrity of payroll operations. The Payroll Specialist will support the payroll team in the creation and submission of semi-monthly payroll, ensuring that all payroll filings and reporting are submitted to third-party administrators in a timely manner. Additionally, the specialist will coordinate with the payroll provider regarding agency tax notices, facilitating prompt processing of employee benefit payments, and ensuring that all payroll-related entries are recorded accurately and on time. In this role, the Payroll Specialist will also support the month-end close process and assist with financial and external audits. This includes reconciling benefits paid against payroll deductions and coordinating with Human Resources to ensure accuracy. The specialist will review new employee setups and maintain changes in the timekeeping system, performing a final review of all labor cost postings. Furthermore, the Payroll Specialist will conduct quarterly 941 labor to payroll reconciliations and analysis, respond to employee inquiries regarding payroll and timesheet issues, and perform monthly and periodic reconciliations and analysis. The position also involves reviewing project assignments for leave projects for employees, ensuring that approved payroll changes comply with labor laws, and managing year-end processes, including 941 reconciliations, W2 validation, and Workers Compensation reporting. The Payroll Specialist will ensure that tax updates are handled promptly and manage PTO accruals to ensure employees are properly mapped to plans, with accruals prorated for unpaid leave types. This role is vital for maintaining the accuracy and efficiency of payroll operations within the organization.
