About the position

The Payroll Specialist at AMMEGA is primarily responsible for ensuring that all payroll documents are received and entered on time, accurately, and in compliance with company policies and procedures. This role involves processing multi-state payroll across the United States, which requires a high level of confidentiality and a broad understanding of company policies. The Payroll Specialist will be tasked with individual payroll accountabilities, including processing payroll in accordance with the Fair Labor Standards Act (FLSA) and other legislative requirements. Close collaboration with the HR department is essential to ensure that benefits and payroll taxes are accurate. The specialist will also be responsible for updating employee wages, deductions, and payroll information, reviewing and auditing for accuracy, and ensuring compliance with company policies and the delegation of authority. In addition to payroll processing, the Payroll Specialist will handle accounting responsibilities, such as processing ad-hoc or recurring accounting and finance reports with high accuracy and adherence to deadlines. This includes general ledger postings, payroll tax and benefit accruals, and reconciliations. The role also encompasses benefit administration, where the specialist will prepare for insurance and workers' compensation audits and support the 401(k) audit. They will be responsible for HSA, FSA, and 401(k) payments and adjustments, as well as the reconciliation of accounts and payment of benefit invoices. Corporate compliance is another critical aspect of this position. The Payroll Specialist will manage Ammega US, Inc's federal, state, and local government registrations, fictitious name registrations, and other compliance items not specifically related to the operations of the business. They will also be responsible for filing corporate income tax returns and tax payments prepared by finance and tax accountants. The work is highly confidential and requires a thorough understanding of company policies and procedures, with key stakeholders including the Accounting Team, Finance Team, and Human Resources for the US and Americas region.

Responsibilities

  • Process payroll in accordance with the Fair Labor Standards Act (FLSA) and all other legislative requirements.
  • Work closely with HR to ensure benefits and payroll taxes are correct.
  • Update employee wages, deductions, and payroll information; review and audit for accuracy, ensuring compliance with company policies.
  • Keep site leads or HR designate informed of any changes affecting employee information and payroll schedule such as garnishment orders.
  • Keep abreast of tax and deduction law changes.
  • Process ad-hoc or recurring accounting and finance reports with high accuracy and adherence to deadlines, including general ledger postings, payroll tax and benefit accruals and reconciliations.
  • Prepare all insurance and workers' compensation audit preparation and support the 401k audit.
  • Responsible for HSA, FSA, and 401(k) payments and adjustments, reconciliations of accounts.
  • Review, reconcile, and pay benefit invoices.
  • Manage federal, state, and local government registrations, fictitious name registrations, and other compliance items.
  • File corporate income tax returns and tax payments prepared by Finance and tax accountants.

Requirements

  • 3+ years work experience in payroll processing multi-site, multi-state payroll required.
  • BA/BS degree or Payroll Certification or equivalent from a two-year college or technical school preferred.
  • Working knowledge of federal, state, and local tax laws and of payroll and tax reporting compliance required.
  • Proficient with Microsoft Office, including Excel proficiency.
  • Solid problem-solving identification skills.
