About the position

The Payroll Specialist plays a crucial role in supporting the Payroll Department by ensuring the timely and accurate processing of payroll records. This position involves compiling, organizing, and entering data into the Time & Attendance (Kronos) and Payroll System (ADP - QuickBooks). The Payroll Specialist is responsible for reviewing time sheets, wage computations, and other relevant information to detect and reconcile any discrepancies in payroll. This role requires a keen attention to detail and a commitment to maintaining the integrity of payroll operations. In addition to processing payroll, the Payroll Specialist will handle paperwork for new employees, entering their information into the payroll system. This includes verifying attendance, hours worked, and any necessary pay adjustments. The specialist will also keep track of various leave times, such as vacation, leave of absence (LOA), and sick leave for employees. Compiling employee time cards and generating payroll data reports from the Time & Attendance system and other records is also a key responsibility. The Payroll Specialist will perform regular payroll audits to ensure that employee payroll records are up to date and accurate. They will assist in special projects as directed by the Payroll Supervisor and maintain payroll operations by adhering to established policies and procedures. Confidentiality is paramount in this role, as the Payroll Specialist must maintain employee confidence and protect payroll operations by keeping sensitive information confidential. Additionally, the specialist may serve as a back-up for the Payroll Lead and will be responsible for filing related payroll documents.

Responsibilities

Requirements

  • Experience with payroll processing and payroll systems, specifically ADP and QuickBooks.
  • Strong attention to detail and accuracy in data entry and payroll audits.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficient in using Time & Attendance systems, preferably Kronos.
  • Excellent organizational skills and ability to manage multiple tasks effectively.

Nice-to-haves

  • Experience in a similar payroll role or department.
  • Knowledge of labor laws and regulations related to payroll and employee compensation.
