About the position

As a Payroll Specialist at Clarks, you will play a crucial role in ensuring the accurate processing and recording of payroll for the company's employees across the United States, Puerto Rico, and Canada. This position involves managing payroll for approximately 2,000 employees, which includes both exempt and non-exempt statuses. You will be responsible for processing weekly, bi-weekly, and monthly payrolls, entering timesheets, and making necessary changes and approvals in the payroll system. Your attention to detail and accuracy will be essential in providing timely and accurate financial information to the organization. In this role, you will process and key in employee changes, new hires, and terminations within the Payroll/HR system, which encompasses multiple states and local Group function employees across five separate pay groups. You will monitor and update time and attendance system exceptions, accruals, and hours, ensuring that all employee time is accurately imported into the Payroll/HR system for payment. Additionally, you will communicate any issues related to the retail system and time and attendance, and calculate specific final pay for terminations in accordance with jurisdictional, state, and federal laws. Your responsibilities will also include running weekly reports from the Payroll/HR system, time and attendance system, and financial system to verify the accuracy of payroll data across all platforms. You will import files for vacation, annual reviews, and other extensive data loads, while providing clear communication to the Americas geography employee base regarding payroll inquiries and issues. Coordination and processing of special payments and off-cycle checks will be done in collaboration with the Payroll Supervisor and Finance team. Furthermore, you will be tasked with training and supporting employees on all systems affecting pay, as well as ensuring compliance with monthly and quarterly reporting requirements to governmental agencies as mandated by law. Establishing proper jurisdictional tax setups and accurate garnishment setups for employees will also be part of your duties.

Responsibilities

  • Process weekly, bi-weekly, and monthly payrolls for employees in the United States, Puerto Rico, and Canada.
  • Enter timesheets, changes, and approvals in the Payroll/HR system.
  • Monitor and update time and attendance system exceptions, accruals, and hours.
  • Manage Dayforce forms workflow for payroll approval transactions.
  • Ensure accurate employee time imports into the Payroll/HR system for pay.
  • Communicate issues regarding the retail system and time and attendance.
  • Calculate specific final pay for terminations according to jurisdictional, state, and federal law.
  • Run weekly reports from the Payroll/HR system, time and attendance system, and financial system to ensure data accuracy.
  • Import files for vacation, annual reviews, and other extensive data loads.
  • Provide communication to the Americas geography employee base regarding payroll inquiries and issues.
  • Coordinate and process special payments and off-cycle checks with the Payroll Supervisor and Finance.
  • Train, support, and provide customer service for all systems affecting pay.
  • Conduct monthly/quarterly reporting to governmental agencies as required by law.
  • Establish proper jurisdictional tax setup for all employees.
  • Establish accurate garnishment setup for employees.

Requirements

  • 1-3 years of payroll experience required.
  • Knowledge of the payroll process and Dayforce HCM.
  • Multi-state tax knowledge.
  • Compliance knowledge in legislation and regulations surrounding payroll wage and hour law.
  • Proficiency in MS Excel and Word.
  • Solid communication skills, both phone and written, in English.
  • Problem-solving skills.
  • Ability to work as a team.
