About the position

The Payroll Specialist will play a crucial role in managing payroll for both union and non-union employees at a leading construction company in the Buffalo, NY area. This position requires meticulous monitoring and management of payroll activities, ensuring that all processes are accurate and efficient. The ideal candidate will possess a keen eye for detail, a strong sense of responsibility, and the ability to handle sensitive information with discretion. The Payroll Specialist will be responsible for examining and verifying the accuracy of timesheets collected, importing and balancing field hours data within set deadlines, and identifying and correcting payroll discrepancies, including underpayments, overpayments, and misclassification of wages. In addition to these core responsibilities, the Payroll Specialist will enter and maintain employee payroll data, including hours worked, deductions, and tax information. Collaboration with the Payroll Manager is essential, as the Specialist will review timecard reports to guarantee the accuracy of weekly payroll. The role also involves managing the entry, review, and balancing of expenses within the weekly deadline, as well as preparing Certified Payroll Reports and various monthly Minority Utilization Labor Reports. Furthermore, the Payroll Specialist will serve as the point of contact for payroll-related inquiries from employees, providing clear and accurate information to ensure smooth communication and resolution of issues.

Responsibilities

  • Examine and verify the accuracy of timesheets collected.
  • Import and balance field hours data within set deadlines.
  • Identify and correct payroll discrepancies, including underpayments, overpayments, and misclassification of wages.
  • Enter and maintain employee payroll data, including hours worked, deductions, and tax information.
  • Collaborate with the Payroll Manager in reviewing timecard reports to guarantee the accuracy of weekly payroll.
  • Manage the entry, review, and balancing of expenses within the weekly deadline.
  • Prepare Certified Payroll Reports and various monthly Minority Utilization Labor Reports.
  • Serve as the point of contact for payroll-related inquiries from employees, providing clear and accurate information.

Requirements

  • 2-3 years of payroll experience, preferably in the construction industry with knowledge of union and non-union payroll processing.
  • Understanding of prevailing wage laws and experience with timesheet collection and payroll data entry.
  • Proficient in payroll software (e.g., ADP, Paychex) and Microsoft Office Suite (Excel, Word).
  • Strong attention to detail, organizational skills, and the ability to meet tight deadlines.
  • High school diploma or equivalent required; additional education in accounting, finance, or a related field is a plus.
  • Ability to work independently and as part of a team.
  • Strong communication skills to effectively interact with employees and management.
