About the position

The Payroll Specialist is responsible for managing all payroll functions for Zionsville Community Schools, ensuring accurate and timely processing of payroll and deductions for all district employees. This role involves data input, verification, and compliance with federal and state regulations, as well as maintaining employee records and responding to inquiries regarding payroll matters.

Responsibilities

  • Receive, compute and record all payroll information, making deductions for income tax, retirement, savings, and other benefits.
  • Maintain sick/personal/vacation time for employee groups and manage transferred days for certified staff.
  • Compute salaries for non-certified employees and prepare teacher contracts with pay scale calculations.
  • Verify all amounts before and after payrolls are processed.
  • Prepare and transmit electronic and manual payments of tax withholdings and deductions to federal and state agencies.
  • Prepare employment tax returns and reports for state and federal agencies.
  • Prepare and send pay advices, certified contracts, and related documents to employees.
  • Issue W-2s and related tax forms to employees and agencies.
  • Submit required reports to the State Board of Accounts and County Auditor.
  • Complete the monthly Bureau of Labor Statistics Report for the US Department of Labor.
  • Pay monthly benefit invoices and maintain records of all benefits and associated costs.
  • Process Indiana State Teachers' Retirement for retirees and complete required reports.
  • Pay lay coaches and maintain ECA pay for certified staff on contract.
  • Maintain sick bank days for certified members.
  • Responsible for the annual roll-over of certified staff members' payroll information and leave days.
  • Provide historical payroll information upon request and access previous payroll systems as needed.
  • Respond to employee inquiries regarding pay, leave days, and garnishments.
  • Troubleshoot with payroll vendor representatives as needed.
  • Generate reports from the payroll system as requested.
  • Maintain process and protocols in payroll process binder.
  • Communicate professionally and effectively with all levels of the organization.

Requirements

  • Bachelor's degree in Accounting, Business Management, or related field preferred; Associate's degree required.
  • 3-5 years of combined experience with general accounting, payroll (preferably in an education setting), or bookkeeping preferred; 1-2 years of experience required.
  • Basic understanding and knowledge of current technology, software applications, and equipment related to payroll.
