About the position

We are looking for a meticulous Payroll Administrator to join our team in Rosemont, Illinois. This role is crucial in ensuring accurate and timely compensation for our employees while adhering to all relevant laws and regulations. The Payroll Administrator will manage payroll processes, maintain compliance with certified payroll and prevailing wage requirements, and collaborate with various teams to ensure seamless operations. The successful candidate will be responsible for accurately processing bi-weekly payroll for all types of employees, including salaried, hourly, and project-based staff. This position requires overseeing certified payroll processes, ensuring adherence to federal, state, and local regulations, and guaranteeing that all payroll practices align with prevailing wage laws and regulations. In addition, the Payroll Administrator will manage the collection and validation of employee time records, ensuring accuracy and completeness. They will prepare and submit regular payroll reports, including certified payroll reports, to the appropriate agencies. The role also involves assisting in the preparation and support of payroll audits, providing necessary documentation, and responding to inquiries. The Payroll Administrator will promptly and professionally address and resolve payroll-related inquiries and issues from employees, maintain and update payroll systems and records to ensure data integrity and confidentiality, and assist in the development and implementation of payroll policies and procedures to improve efficiency and compliance. Collaboration with HR, Finance, and Project Management teams is essential to ensure seamless payroll operations.

Responsibilities

  • Accurately process bi-weekly payroll for all types of employees, including salaried, hourly, and project-based staff
  • Oversee certified payroll processes, ensuring adherence to federal, state, and local regulations
  • Guarantee all payroll practices align with prevailing wage laws and regulations
  • Manage the collection and validation of employee time records, ensuring accuracy and completeness

Requirements

  • Proficiency in ADP - Financial Services, ADP Workforce Now, Ceridian, Kronos Timekeeping System, Microsoft Excel
  • Knowledge in 401k - RRSP Administration, About Time, Accounting Functions, Benefit Functions, Check Processing Requirements
  • Ability to handle sensitive and confidential information with discretion
  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to work independently as well as part of a team
  • Ability to meet deadlines in a fast-paced environment
  • Relevant certification or degree in accounting, finance, or related field would be advantageous.
