About the position

The Payroll/HCM Specialist I position at 1st Payroll, Inc. involves processing payroll for multiple clients while ensuring compliance with various regulations. The role emphasizes customer service, attention to detail, and the use of advanced payroll technology to enhance efficiency. The specialist will communicate daily with clients, assist with payroll system configurations, and maintain accurate records and reports.

Responsibilities

  • Accurately and timely process payroll for multiple clients, ensuring compliance with federal, state, and local regulations
  • Review and verify payroll data entries and source documents
  • Calculate and include deductions such as taxes, insurance, and retirement contributions
  • Assist clients with payroll system configurations, including onboarding new employees and processing wage garnishments, child support requests, manual checks, and off-cycle payments
  • Review pre-processing reports and resolve data integrity issues before processing
  • Maintain accurate records and prepare payroll reports for clients and management
  • Address and resolve client inquiries about payroll discrepancies and adjustments
  • Stay updated on payroll trends, technology upgrades, and regulatory changes
  • Maintain positive working relationships with clients, internal teams, and service providers
  • Utilize CRM system (Zoho) and the company's Help Desk (Zoho) to track issues, maintain documentation and build knowledge base articles
  • Participate in team meetings and professional development opportunities
  • Assist with special projects as needed

Requirements

  • Associate's degree in Accounting, Business Administration, or a related field or equivalent experience
  • 1-2 years of payroll processing experience, ideally with a payroll service bureau or HCM provider
  • Strong numerical aptitude and diligent attention to detail
  • Excellent communication skills, both written and verbal
  • Ability to work under pressure and meet tight deadlines
  • Proficiency in payroll software and a willingness to learn new technology quickly
  • High level of emotional intelligence, compassion, and customer service skills
  • Ability to maintain confidentiality and handle sensitive information discreetly
