About the position

The Payroll Tax Specialist is responsible for managing all payroll tax-related functions and ensuring compliance with federal and state payroll tax laws. This role involves processing biweekly and off-cycle payrolls in a multi-state environment, resolving payroll issues, and maintaining accurate payroll records. The specialist will work closely with tax agencies and a third-party vendor to oversee the payroll tax process and ensure timely and accurate payroll tax remittance.

Responsibilities

  • Assist with processing international and US payrolls for exempt and non-exempt employees.
  • Review and resolve payroll tickets in Jira.
  • Research payroll issues and demonstrate high analytical ability and knowledge of best practices.
  • Administer payroll tax compliance requirements across all companies.
  • Work directly with tax agencies to open or close tax accounts as needed.
  • Make corrections to Business Wire state/federal tax profile setups with tax service.
  • Maintain tax service dashboard and resolve tax or garnishment discrepancies.
  • Review and submit tax notices to tax service and identify high-priority tax notices.
  • Process quarterly tax returns or late originals as needed.
  • Responsible for quarter-end processing and resolving variances between Workday and ADP Smart Connect.
  • Balance and remit payroll taxes for bi-weekly payroll runs.
  • Process lock-in letters received from IRS.
  • Collect, verify, and record employee attendance, including hours worked.
  • Execute year-end processing and reconcile all box totals, earnings, and deductions.
  • Review employee data to identify incorrect live or work states and make necessary tax adjustments.
  • Answer tax calls from employees and tax agencies.
  • Ensure compliance with federal, state, and local tax laws.

Requirements

  • 7+ years of payroll experience
  • Experience processing multi-state payroll tax in Workday
  • Experience with Workday and ADP Smart Connect
  • Excellent organizational skills and attention to detail
  • Strong analytical and problem-solving skills
  • Proficient with Microsoft Office Suite or related software
  • Proficient with Workday payroll software
  • US and International payroll experience

Nice-to-haves

  • Experience with Jira Ticketing system
  • CPP and Workday certifications
