About the position

The Payroll Specialist at Wabtec Corporation plays a crucial role in ensuring the accurate and timely processing of payroll for both salary and hourly employees. This position is responsible for the submission, reporting, and auditing of payroll while ensuring compliance with company policies as well as Federal, State, Local, and IRS regulations. The Payroll Specialist must maintain a high standard of quality and accuracy by proactively managing the payroll cycle and associated processes to meet all payroll deadlines. This role requires excellent customer service skills and the ability to work closely and collaboratively with HR and other cross-functional departments. On a typical day, the Payroll Specialist will process payroll for multiple legal entities across various states and provinces in the US and Canada, validating and ensuring the accuracy of data in Workday, including changes, hours, and earnings. The role involves calculating retroactive adjustments and ensuring that imported payroll data is audited using various reports prior to sending for approval within established timelines. The Payroll Specialist will partner with internal and external stakeholders to process payroll in accordance with company policies, union contracts, and legal requirements, while also assuring and maintaining the confidentiality and completeness of payroll files and data. Additionally, the Payroll Specialist will actively seek ways to improve processes and procedures, support department transformation initiatives, and manage garnishment administration and other third-party payments such as union dues. The role also includes providing various reports and data for internal and external audits, participating in year-end projects including W-2 preparation, and assisting in various special projects which may include participation in implementation activities and ad hoc reporting. This position is integral to the overall success of Wabtec's payroll operations and contributes to the company's commitment to performance that drives progress.

Responsibilities

  • Process payroll for multiple legal entities across multiple states and provinces with various pay schedules in the US and Canada.
  • Validate and ensure the accuracy of data in Workday such as changes, hours, and earnings and calculate retroactive adjustments.
  • Ensure imported payroll data is audited using various reports prior to sending for approval within established timelines.
  • Partner with internal and external stakeholders to process payroll in accordance with company policies, union contracts, and legal requirements.
  • Assure and maintain confidentiality and completeness of payroll files and data including their security.
  • Actively look for ways to improve processes and procedures and support department transformation initiatives.
  • Manage garnishment administration and process other third-party payments such as union dues.
  • Provide various reports and data for internal and external audits as required.
  • Participate in year-end projects including W-2 preparation.
  • Assist in various special projects which may include participation in implementation activities and ad hoc reporting.

Requirements

  • Associate's degree from an accredited college or university (preferred).
  • Minimum of 4+ years of progressive payroll and payroll tax-related experience.
  • Experience with Workday is highly preferred.
  • Experience with Canada payroll is a plus.
  • Knowledge of federal and state labor laws, such as the Fair Labor Standards Act, state wage and hour regulations, federal and state payroll tax regulations.
  • Ability to adapt to a dynamic, rapidly changing business environment.
  • Strong multi-tasking skills and ability to work within tight deadlines.
  • Detail-oriented with excellent problem-solving skills.
  • Ability to work independently and collaboratively.
  • Proficient in Microsoft Word and Microsoft Excel (VLOOKUPS and Pivot Tables).
  • Excellent oral and written communication skills with a strong customer service orientation.
