About the position

The Payroll Specialist position at System One is a contract role based in Pittsburgh, Pennsylvania, offering a hybrid work model. The primary focus of this role is to provide exceptional customer service to the company's U.S. stores, field management, and other business areas. The Payroll Specialist will be responsible for verifying, balancing, and auditing payroll transactions, ensuring accuracy in payroll processing. This includes the setup, processing, and research involving time reporting systems and processes, particularly the Workforce Management System and other time/information collection applications. In this role, the Payroll Specialist will interact with various stakeholders, including ADP (the payroll service provider), store employees, field management, HR, legal counsel, and other departments. Effective communication regarding payroll policies and procedures is essential, as the specialist will address inquiries from store employees in a timely and professional manner. The position also involves performing verification and balancing functions, researching discrepancies, and administering time reporting systems to ensure compliance with FLSA overtime rules and timely collection of employee hours for payroll processing. Additionally, the Payroll Specialist will create queries and reports for management, auditors, HR, and legal purposes, coordinate activities related to processing accelerated termination pays, and maintain confidentiality of sensitive information. The role may also require assisting with system changes and upgrades, as well as performing other projects and duties as assigned.

Responsibilities

  • Provide excellent customer service by responding to store employees/management and addressing inquiries in a timely and professional manner
  • Interact and partner with ADP (AE's payroll service provider), store employees, all levels of field management, HR and legal counsel, and other departments in the company
  • Communicate effectively concerning payroll policies/procedures and issues to store employees
  • Perform verification and balancing functions, and research discrepancies as necessary to ensure the accuracy of payroll transactions
  • Administer AE's time reporting systems to ensure the proper setup of FLSA overtime and other rules, and the timely collection of employee hours for processing in the payrolls
  • Create queries and reports as needed by management, internal/external auditors, HR, Legal, and for research purposes
  • Coordinate activities related to processing accelerated termination pays
  • Ensure department confidentiality of sensitive information
  • Assist with the testing of system changes and upgrades
  • Perform other projects and duties as assigned

Requirements

  • Bachelor's Degree in Finance, Accounting, or a business related field preferred
  • 2+ years of relevant work experience (payroll experience [specifically ADP] preferred)
  • High degree of proficiency in Gmail, Google Sheets, Google Docs, Excel & Internet applications
  • Strong analytical, prioritizing, interpersonal, and problem-solving skills
  • Strong verbal and written communication skills
  • Demonstrated collaborative skills and ability to work well within a team
  • Ability to work in a fast-paced and deadline-oriented environment
