About the position

EquipmentShare is searching for a Payroll Specialist for our corporate office in Columbia, MO, with hybrid opportunities to support our team as the department continues to grow. The Payroll Specialist will be responsible for processing weekly and bi-weekly payroll for all employees, ensuring accuracy in calculations of wages, overtime, deductions, and benefits. This role requires verifying timekeeping records and resolving any discrepancies, as well as reviewing union contracts and updating systems to meet requirements. The Payroll Specialist will prepare and initiate direct deposits, ensuring that all payroll processes are executed smoothly and efficiently. In addition to payroll processing, the Payroll Specialist will ensure compliance with federal, state, and local payroll regulations, including tax laws, wage and hour laws, and other relevant regulations. Maintaining accurate and up-to-date payroll records is crucial, including employee data, earnings, deductions, and tax information. The Payroll Specialist will also prepare and file necessary reports and forms, such as W-2s, 1099s, payroll tax returns, Certified Payroll Reports for government contracts, and census bureau & labor statistic reports. The role also involves providing employee support by responding to payroll-related inquiries, assisting employees with understanding their pay stubs and tax withholdings, and utilizing Workday payroll software and internal time-keeping systems to process payroll and maintain records. The Payroll Specialist will generate payroll reports for management, finance, and HR departments as needed, analyze payroll data and trends to identify discrepancies or areas for improvement, and collaborate closely with HR to ensure accurate employee records, including new hires, terminations, and changes in employment status. Coordination with the Accounting & Business Analysis departments will also be necessary to ensure accurate financial reporting and reconciliation of payroll accounts.

Responsibilities

  • Respond to payroll-related inquiries from employees, providing explanations of payroll policies and resolving any issues.
  • Assist employees with understanding their pay stubs and tax withholdings.
  • Utilize Workday payroll software and internal time-keeping system to process payroll and maintain records.
  • Update and maintain payroll system data, including employee information, pay rates, and benefits.
  • Generate payroll reports for management, finance, and HR departments as needed.
  • Analyze payroll data and trends to identify discrepancies or areas for improvement.
  • Work closely with HR to ensure accurate employee records, including new hires, terminations, and changes in employment status.
  • Coordinate with the Accounting & Business Analysis departments to ensure accurate financial reporting and reconciliation of payroll accounts.

Requirements

  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
  • At least 2-5 years of experience in payroll processing or a related role.
  • Experience with Workday payroll software is highly desirable.
  • Strong knowledge of payroll regulations and best practices.
  • Proficiency in payroll software and Microsoft Office Suite (Excel, Word).
  • Excellent attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Effective communication and interpersonal skills.
