About the position

The Payroll Specialist for the Corporate Office is responsible for applying principles of accounting to analyze financial information and prepare financial reports. This role involves monitoring compliance with generally accepted accounting principles (GAAP) and company procedures. The Payroll Specialist will review, investigate, and correct errors and inconsistencies in financial entries, documents, and reports. They will compile payroll data such as garnishments, vacation time, 401(k) deductions, hours worked, sales or piecework, taxes, insurance, and employee identification numbers from timesheets and other records. In addition, the Payroll Specialist prepares computer input forms, enters data into computer files, computes wages and deductions, and posts to payroll records. They will respond to employee and client questions regarding pay, review computed wages, and correct errors to ensure the accuracy of payroll. The role also includes recording changes affecting net wages such as exemptions, insurance coverage, and loan payments for each employee to update master payroll records. Furthermore, the Payroll Specialist will record data concerning the transfer of employees between departments and prepare periodic reports of earnings, taxes, and deductions. The position requires the preparation of weekly, monthly, and year-end reports, including gross payroll, hours worked, vacation accrual, tax deductions, and benefit deductions for management. The Payroll Specialist is responsible for keeping records of leave pay and nontaxable wages, preparing and issuing paychecks, and mailing W-2 forms. In the absence of the Billing Accountant, the Payroll Specialist will handle their duties and perform other office tasks as needed to ensure smooth financial processes.

Responsibilities

Requirements

  • Associate's degree (A.A.) or equivalent from a two-year college or technical school; or minimum one-year related experience and/or training; or equivalent combination of education and experience.
  • Intermediate to advanced experience with Accounting Software, Contact Management Systems, Database Software, Human Resources systems, Payroll systems, and MS Office.
  • Valid State Driver's License.
