About the position

The Payroll Specialist at Wilkerson Crane Rental is responsible for executing payroll processes to ensure accurate and timely payment for all employees. This role requires a comprehensive understanding of payroll systems, tax regulations, and labor laws, along with strong analytical skills. The specialist will handle wage calculations, verify timecards, manage deductions, and address employee inquiries regarding payroll, while ensuring compliance with all relevant regulations.

Responsibilities

  • Execute end-to-end payroll process on a regular schedule, ensuring accuracy and timely payment of salaries, wages, bonuses, adjustments and deductions.
  • Ensure compliance with federal, state, and local payroll regulations and tax requirements.
  • Enter and maintain multiple certified payroll reporting, weekly.
  • Manage payroll records, including employee hours, earnings, tax withholdings, deductions, and benefits contributions.
  • Address payroll discrepancies and resolve employee payroll inquiries.
  • Review and verify time records for accuracy, and ensure proper payment based on hours worked, overtime and paid time off.
  • Review, prepare and execute year end reporting, such as W2's.
  • Enter and maintain payroll data with payroll software or systems, including new hires, terminations, salary adjustments, tax withholdings, and benefit deductions.
  • Serve as the primary point of contact for employee payroll issues to respond and resolve employee inquiries related to payroll, deductions, timekeeping issues, and other payroll-related matters.
  • Ensure all payroll processes comply with federal, state, local, and union regulations.
  • Keep up to date with changes in tax laws, labor laws, and company policies.
  • Prepare and submit payroll reports to management and other departments as needed, including payroll summaries, tax reports, union reporting, and other financial documentation.
  • Assist in audits, both internal and external, by providing accurate payroll data and supporting documents.
  • Maintain organized payroll records, ensuring data confidentiality and compliance with record retention requirements.
  • Support HR with company benefits review.
  • Other duties as assigned by management.

Requirements

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field, or 5+ years of payroll administration experience in lieu of education.
  • Strong knowledge and understanding of payroll systems (ADP, Microsoft Excel).
  • Experience with Davis Bacon Act, Prevailing wage orders, Certified payroll, and other payroll practices, wage and hour laws, and taxation rules.
  • Ability to multi-task and flexibility in daily & weekly work schedule to meet deadlines and commitments.
  • Excellent attention to detail.
  • Ability to work independently and in a team setting.
  • Solid communication, leadership, and interpersonal skills.
  • High level of discretion, confidentiality, and integrity in handling payroll information.
