About the position

Illuminus is seeking a highly organized and detail-oriented Payroll Specialist to join our team. The individual will be responsible for coordinating and processing all aspects of the bi-weekly payroll function, as well as assisting with benefits administration, workers' compensation, and disability claims filing and follow-up. The ideal candidate will have excellent communication skills, be able to maintain a positive image of the entity in the community, and be willing to take on-call services as assigned. This role is crucial in ensuring that all payroll processes are executed accurately and timely, contributing to the overall efficiency of the organization. The Payroll Specialist will maintain and actively promote effective communication with all individuals involved in the payroll process. This includes maintaining a positive image of the entity in the community, aligning with our mission, vision, and values. The responsibilities extend beyond payroll processing to include managing employee records, processing new hires and terminations, and ensuring compliance with federal and state tax regulations. The role also involves reviewing benefits documentation, processing employee leave of absences, and submitting disability and workers' compensation claims. In addition to the technical aspects of payroll, the Payroll Specialist will be expected to perform other duties as assigned, demonstrating flexibility and a commitment to quality outcomes and services for all individuals. This position is integral to the financial health of the organization and requires a proactive approach to problem-solving and decision-making.

Responsibilities

  • Maintains and actively promotes effective communication with all individuals.
  • Maintains a positive image of the entity in the community keeping in alignment with our mission, vision, and values.
  • Responsible for on-call services, as assigned.
  • Responsible for entire bi-weekly payroll process, as well as quarterly and year-end payroll reporting.
  • Maintain payroll and personnel records.
  • Process new, terminated and status changes for employees, including time clock, payroll system, benefits and notification to IT for security access.
  • Review benefits and obtain required documentation.
  • Process federal and state taxes, garnishments, and child support.
  • Responsible for enrollment, changes, cancellation, and payment submission for employee health, dental, life & disability insurance, flex plan and 401k retirement plan.
  • Responsible for employee leave of absences, including required FMLA documentation and tracking, collection of insurance premiums and loans.
  • Submit disability and workers' compensation claims.
  • Performs other duties, as assigned.

Requirements

  • Associate degree in related field.
  • Five years payroll and personnel experience.
  • Knowledge of timekeeping system and payroll software.
  • Word processing and spreadsheet knowledge.
  • Typing and filing abilities.
  • Commitment to quality outcomes and services for all individuals.
  • Ability to relate well to all individuals.
  • Ability to maintain and protect the confidentiality of information.
  • Ability to exercise independent judgment and make sound decisions.
  • Ability to adapt to change.
