The position of Payroll Specialist involves delivering skilled accounting services with minimal supervision to ensure the maintenance of accurate and timely accounting records and financial information for the agency. The role requires daily use of the Financial Edge Accounting system, Paylocity payroll system, and other software, including Microsoft Office products. While primarily an 8-hour workday, the position may occasionally require overtime to meet deadlines. The Payroll Specialist will collaborate closely with Human Resources to ensure accurate processing of new hires and terminations, as well as adjustments to employee pay. This role is crucial in preparing payroll reports, reviewing invoices, and maintaining compliance with company policies. Working conditions are typical of an office environment, with occasional visits to agency locations and driving on behalf of the finance department. Responsibilities

  • Enter payroll information and maintain payroll files.
  • Collaborate with Human Resources to ensure accurate processing of new hires and terminations in the payroll system.
  • Enter adjustments to employee pay for bonuses, commissions, or other additions as directed by Human Resources.
  • Update payroll information for any garnishments or mandatory deductions.
  • Review timecards for non-exempt employees for reasonableness and address any questions with supervisors.
  • Ensure compliance with all company policies.
  • Prepare reports summarizing earnings, deductions, and leave for review by the Accounting Manager and Director.
  • Submit payroll to Paylocity for processing according to established schedule after review and approval by Director.
  • Review invoices for proper coding and approval upon receipt.
  • Enter vendor invoices into the accounting system for payment.
  • Review employee expense reports for accuracy, approval, and adherence to company policy.
  • Enter expense reports into the accounting system for payment.
  • Submit pre-check reports for review and initiate payment of approved invoices upon authorization.
  • Maintain electronic files for supporting documentation.
  • Communicate with vendors and agency staff to resolve billing or payment issues.

Requirements

  • High school diploma required; vocational and/or some college work preferred.
  • Minimum of 2-4 years payroll experience required.
  • Experience with Paylocity Payroll software is a plus.
  • Strong computer skills required, particularly with Microsoft Office Excel, Word, and Adobe Pro.
  • Trustworthy individual capable of maintaining confidentiality in all areas related to the business and welfare information of the agency.
  • Valid driver's license and a risk-free driving record required.
  • Willingness to undergo initial and periodic screenings for child abuse/neglect, criminal history, and other disqualifications as required by the Missouri Department of Health and Senior Services.
  • Must submit fingerprints for review by the Missouri State Highway Patrol and FBI as requested.
  • Must undergo a pre-employment drug screen and physical with results showing no evidence of communicable disease.
  • American Red Cross first aid and CPR certification required at all times.
