The City of Joliet is seeking a dedicated Payroll Specialist to join our Finance Department within the Accounting Division. This role is crucial for ensuring the timely and accurate processing of payroll for our employees, which includes compliance with collective bargaining agreements, tax obligations, and various deductions. The Payroll Specialist will be responsible for a range of payroll-related functions, including verifying time worked, processing pay rate changes, and calculating retroactive pay for salary increases. This position also involves maintaining the payroll master file and preparing periodic reports related to payroll and accounting duties. In addition to processing payroll, the Payroll Specialist will handle wage garnishments in accordance with applicable laws and regulations, reconcile payroll accounts, and prepare necessary reports for pension, deductions, withholdings, and income tax reporting. The role requires advising employees on routine payroll inquiries and overseeing the distribution of paychecks and direct deposits. The Payroll Specialist will also prepare year-end schedules for audits, update system files for payroll annually, and verify and distribute W-2 information. Furthermore, the position involves responding to both internal and external inquiries related to payroll and compensation, authorizing and administering employee access to the payroll system, and training employees on its usage. The ideal candidate will also recommend and implement procedural changes to enhance payroll processes and assist in preparing pay changes and employee reimbursements. This position is essential for maintaining the integrity of payroll operations and ensuring that all payroll-related functions are executed efficiently and accurately.
