About The Position

Under the direction and supervision of the Manager Service Officer (MSO) of the Materials Science and Engineering, the Payroll Specialist will manage all aspects of Personnel and Payroll, including the management of monthly and biweekly payroll expenses. This role is responsible for all online personnel, finance, and administrative transactions utilizing UCLA UCPATH, I-9 tracker, and E-Verify processing, as well as the Glacier Tax system for international employees. The Payroll Specialist will serve as a primary Department Time Administrator (DTA) for the Department, handling biweekly and monthly time reports, reconciling payroll reports, and coordinating visa requests and extensions as needed. The candidate will be responsible for all aspects of personnel and payroll functions for permanent and temporary employees, including full-time and part-time staff, undergraduate and graduate students, academic apprentices, limited and career staff, postdoctoral scholars, and visiting scholars within the Materials Science and Engineering Department. This includes updating and maintaining employee databases and personnel files, data entry using the UC payroll system (UCPATH) and time reporting systems (TRS), processing biweekly and monthly payroll, retroactive salary adjustments, promotions, merit increases, and payroll expense transfers. The Payroll Specialist will also process employment, termination, reappointment, merits, and promotions, working closely with supervisors and employees to ensure the accuracy of transactions and resolve any anomalies. Additionally, the Payroll Specialist will assist in the job posting and recruiting process, interpret and apply policies appropriately, and collaborate to ensure that payroll is correctly charged to sponsored research accounts. The role includes overseeing and providing backup for hiring, handling payroll contracts, facilitating visa processing for international employees, coordinating performance evaluations and merit increases according to policy, and overseeing the execution of visiting scholars and graduate researchers. The candidate must be skilled in establishing and adjusting priorities that reflect the relative importance of each job responsibility and provide administrative support to the MSO as needed.
