The Payroll Specialist will report to the Payroll Manager and will be responsible for processing bi-weekly and off-cycle payrolls using UKG Pro for both salaried and hourly employees. This role requires a meticulous approach to auditing employee time and labor data, ensuring accuracy in payroll processing across a multi-state corporate environment. The Payroll Specialist will calculate shift differentials and other pay based on assigned shifts, establish and ensure the accuracy of federal, state, and local taxes, social security contributions, employee benefit contributions, fringe benefits, garnishments, and other deductions from employee paychecks. In addition to payroll processing, the Payroll Specialist will assist with balancing payroll accounts by resolving discrepancies, analyze and respond to inquiries from employees regarding paycheck amounts, deductions, leave accruals, direct deposits, and other concerns. The role also involves processing garnishments and communicating garnishment information to all relevant parties. The Payroll Specialist will research and gather required documents to set up necessary tax accounts in new states where the company operates, and will work with tax agencies as well as internal staff to resolve payroll tax payments and data discrepancies. Furthermore, the Payroll Specialist will liaise with UKG regarding payroll and UTM system issues and cases, and will pull various payroll reports from UKG Pro, including some BI/People Analytics.

Responsibilities

  • Process bi-weekly and off-cycle payrolls using UKG Pro for salaried and hourly employees.
  • Audit employee time and labor data and interact with supervisors to verify data and resolve discrepancies.
  • Calculate shift differentials and other pay based on assigned shifts.
  • Establish and ensure accuracy of federal, state, and local taxes, social security contributions, employee benefit contributions, fringe benefits, garnishments, and other deductions from employee paychecks.
  • Assist with balancing payroll accounts by resolving payroll discrepancies.
  • Analyze and respond to inquiries from employees regarding paycheck amounts, deductions, leave accruals, direct deposits, and other concerns.
  • Process garnishments and communicate garnishment information to all parties.
  • Research and gather required documents to set up necessary tax accounts in new states where the company operates.
  • Research payroll tax payments and data discrepancies with federal, state, and local agencies, and work with tax agencies as well as internal staff for resolution.
  • Liaison with UKG regarding payroll and UTM system issues and cases.
  • Pull various payroll reports from UKG Pro, including some BI/People Analytics.

Requirements

  • A minimum of three (3) years payroll processing experience as Payroll Clerk, Coordinator, Administrator or Analyst.
  • Prefer experience in a large, multi-state environment.
  • A minimum of an associate degree or bachelor's degree, or payroll certification (FPC or CPP) preferred, but not required.
  • Must have experience with UKG Pro Payroll (formerly known as UltiPro).
  • Experience with UKG Time Management (UTM) preferred.
  • Experience with year-end and W-2 form processing.
  • Prefer experience with Canada or global payroll processing.
  • Knowledge of Human Resources and Accounting fundamentals.
  • Proven ability to complete work accurately, independently, and with attention to detail.
  • Ability to work on multiple tasks under tight deadlines.
  • Strong and proven customer service skills.
  • Effective communication skills across departments as well as with external partners.

Nice-to-haves

  • Experience with UKG Time Management (UTM) preferred.
