About the position

The Payroll Specialist is responsible for processing and reconciling bi-weekly payroll, calculating employee earnings and deductions, and maintaining payroll records. This role involves managing electronic fund transfers, monitoring benefit accruals, and ensuring compliance with payroll regulations. The specialist will also interact with supervisors for time approval and verification, and provide support for payroll-related inquiries.

Responsibilities

  • Processes and distributes bi-weekly payroll, computes contract amounts, and processes adjustments to wages.
  • Creates and imports time management files for each payroll and inputs all necessary changes to pay data and paid time off (PTO).
  • Maintains time management system for employees, including usernames, passwords, and PTO hours available.
  • Interacts with supervisors for time approval and verification.
  • Extends calendar each year for payroll dates and holidays; recalculates and rolls over PTO for all employees.
  • Responds to payroll questions and performs related functions as required.
  • Requests reports and translates information from the payroll record keeping and time management system.
  • Compiles information using spreadsheets for quarterly tax returns and uploads quarterly taxes to SOM.
  • Calculates and remits payroll tax payments to IRS and SOM.
  • Generates payroll summary and detail reports for verification and tax purposes.
  • Reconciles, distributes, and mails W-2 forms annually; reports any adjustments for year-end.
  • Prepares, reconciles, and uploads data file for 403(b) plan and other annuity payments.
  • Compiles information and responds to unemployment claims in conjunction with human resources.
  • Maintains strict confidential records with sensitive information including personnel records and wage garnishments.
  • Works with CHRO to compile and distribute various communications to employees regarding payroll issues and policies.

Requirements

  • High school diploma required; bachelor's degree preferred.
  • 1-2 years of experience processing payroll.
  • Thorough knowledge of state and federal payroll laws.
  • Experience working in a higher education environment is a plus.
  • Working knowledge of Microsoft Office is required.
  • Training in computer-based programs and 10-key calculator is a plus.

Nice-to-haves

  • Experience in payroll processing in a higher education environment.
  • Knowledge of benefits administration.
