About the position

The Payroll Specialist is responsible for the accurate preparation, documentation, and distribution of payroll for over 400 employees. This role involves managing all payroll-related activities in accordance with policies, procedures, and regulations, while ensuring timely and accurate payroll transactions. The position requires close collaboration with the Human Resources team and demands a high level of confidentiality and independent judgment.

Responsibilities

  • Ensure all aspects of the payroll cycle are processed accurately and timely, including taxes, benefits, and garnishments.
  • Review timesheet information for accuracy and correct any errors before submission.
  • Verify the input of employee changes and Personal Action Forms prepared by Human Resources for completeness.
  • Reconcile bi-weekly payroll and prepare payroll deposit information.
  • Prepare payroll vendor files and checks for disbursement.
  • Reconcile and prepare pension contributions and related correspondence.
  • Review benefit and incentive program processing.
  • Review holiday pay distributions according to bargaining unit contracts.
  • Identify and resolve discrepancies in paperwork from various departments.
  • Provide information to other departments and the public regarding payroll rules and procedures.
  • Prepare journal entries and file documents appropriately.
  • Maintain organized payroll records and respond to employee inquiries regarding payroll issues.
  • Run ad hoc financial reports as assigned and assist with year-end processes like W-2 preparation.
  • Process employee verifications and assist with the annual audit.

Requirements

  • Associates Degree in a business-related field.
  • Three or more years of high volume payroll processing experience.
  • Knowledge of payroll principles, practices, regulations, and laws.
  • Experience with general ledger and its relationship with payroll.
  • Strong analytical and critical thinking skills.
  • Proficient in data entry, spreadsheet, and word processing skills.
  • Excellent customer service skills and ability to communicate effectively with all levels of the organization.
  • Proficient in Microsoft Office and payroll software, experience with SunGard Public Sector and KRONOS is a plus.
  • Ability to maintain confidentiality and manage stress in a changing environment.

Nice-to-haves

  • Certified Payroll Professional certification.
  • Working knowledge of human resources practices and procedures.
  • Experience with Federal/State/Local labor laws.
