About the position

DocGo is leading the proactive healthcare revolution with an innovative care delivery platform that includes mobile health services, population health, remote patient monitoring, and ambulance services. The Payroll Specialist will coordinate and participate in technical payroll accounting activities, ensuring the accuracy and completeness of payroll transactions. This role involves the preparation, maintenance, processing, analysis, and auditing of both manual and automated payroll data, information, records, and reports. The Payroll Specialist will work under the direction of the Director of Payroll and will be responsible for ensuring accurate and timely processing of payroll for all exempt and non-exempt employees, while also ensuring compliance with company policies and regulations. In this full-time role, the Payroll Specialist will maintain and update employee payroll records, including changes in salaries, tax withholdings, garnishments, and deductions. The position requires auditing payroll records to ensure all employee changes are correctly reflected in the payroll software. The Payroll Specialist will manage the Payroll distribution inbox, respond to frequently asked questions, and provide general HR and payroll information. Additionally, the role involves assisting with commission and bonus tracking, income verifications, and year-end payroll processing activities, including the administration of all year-end tax forms and data audits. The ideal candidate will have a strong background in payroll processing, with a minimum of 3 years of progressive payroll-related experience and knowledge of federal, state, and local payroll tax regulations. Proficiency in Microsoft Office Suite, particularly advanced Excel functions, is essential. The Payroll Specialist must be detail-oriented, possess excellent problem-solving skills, and have the ability to work independently and collaboratively in a dynamic environment.

Responsibilities

  • Ensures accurate and timely processing of payroll for all exempt and non-exempt employees, ensuring accuracy and compliance with company policies and regulations.
  • Calculate and audit wages, overtime, deductions, and benefits.
  • Maintain and update employee payroll records, including changes in salaries, tax withholdings, garnishments, and deductions.
  • Ensure compliance with federal, state, and local payroll regulations and reporting requirements.
  • Audit payroll records to source data, ensuring all employee changes are correctly reflected in the payroll software.
  • Manage Payroll distribution inbox and receive phone calls, field messages, respond to frequently asked questions, provide general HR and payroll information, and follow up on all phone calls and emails accordingly.
  • Refer more complex questions to appropriate senior-level staff or management.
  • Maintain the integrity and confidentiality of human resource and payroll files and records.
  • Assist with recording discrepancies and filing discrepancy form accordingly along with other payroll related forms and documents.
  • Assist with any payroll-related matters including biweekly check distribution, pay discrepancies, garnishments, benefits, and onboarding issues with the payroll department.
  • Assist with commission and bonus tracking and payment processing for staff each pay period.
  • Complete income verifications, unemployment forms, garnishment responses, and other agency forms.
  • Responsible for providing standard financial and payroll reports of employee data and metrics.
  • Assist in monthly, quarterly, and annual payroll reconciliations, including W-2s and 941s.
  • Support Year-End Payroll processing activities (e.g., develop and provide payroll calendar, review year-end tax reports and administration of all year-end tax forms and data audits).
  • Perform other duties as assigned.

Requirements

  • A Bachelor's degree (preferred)
  • Certified Payroll Professional (CPP) designation, or Fundamental Payroll Certification (FCP) a plus
  • Minimum of 3+ years progressive payroll related experience
  • Minimum of 5+ years multi-state and local payroll tax experience
  • Workday Payroll Processing experience or similar system experience - strongly desired.
  • Experience with OSV (One Source Virtual), ADP SmartCompliance, or other payroll taxation system preferred.
  • Knowledge of federal, state, and local payroll tax regulations necessary
  • Must be proficient in Microsoft Office Suite products and Advanced Microsoft Excel functions (VLOOKUPS, Pivot Tables and other formulas)
  • Must adapt to a dynamic, rapidly changing business environment.
  • Ability to multi-task and work within tight deadlines.
  • Detailed-oriented and excellent problem-solving skills.
  • Ability to work independently and collaboratively.
  • Ability to plan and organize workload with minimal supervision.
  • Excellent oral and written communications skills with a strong customer service orientation.
