About the position

Our client, a construction company in NYC, is seeking a Payroll Specialist to join their team. This position is responsible for accurate and timely calculation, processing, and distribution of full-cycle company payroll for union and non-union employees across three companies. The Payroll Specialist will execute payroll changes within ADP payroll software and provide support to the Accounting Department by recording all payroll-related transactions. Additionally, this role serves as a liaison between payroll functions and Human Resources, ensuring smooth communication and operations. The Payroll Specialist will be responsible for all aspects of payroll, including the maintenance and reporting of time and attendance records, employee changes, deductions, and add-ons. They will independently follow up on missing and/or incorrect timesheets and data, perform pre- and post-payroll audits, and check entry work performed by others. The role also involves handling payroll-related issues such as garnishments, unemployment, disability, and employment verifications. Furthermore, the Payroll Specialist will compile data and reports pertaining to all phases of full cycle payroll, reconcile payroll liabilities, and ensure compliance with IRS requirements, workers' compensation, and other payroll auditing processes. In addition to payroll responsibilities, the Payroll Specialist will prepare and verify documentation required for all union benefits issues, perform reconciliation and analysis of salary expenses, 401(k), employee group benefits, payroll taxes, and other insurance-related audits/reporting. They will solve problems concerning payroll, respond to employee inquiries, and communicate payroll policies effectively. The Payroll Specialist will work closely with the Controller and CFO to develop and maintain necessary procedures and internal controls related to payroll accounting, while practicing discretion and confidentiality regarding all payroll and accounting matters. Other duties may include maintaining PTO accruals and performing bank reconciliation within the Accounting Department as requested.

Responsibilities

  • Calculate, process, and distribute full-cycle payroll for union and non-union employees.
  • Maintain and report time and attendance records, employee changes, deductions, and add-ons.
  • Follow up on missing and/or incorrect timesheets and data.
  • Perform pre- and post-payroll audits and check entry work performed by others.
  • Handle payroll-related issues such as garnishments, unemployment, disability, and employment verifications.
  • Compile data and reports pertaining to all phases of full cycle payroll and reconcile payroll liabilities.
  • Prepare and verify documentation for union benefits issues.

Requirements

  • Bachelor's degree in Accounting preferred.
  • 3-5 years of full-cycle payroll experience.
  • Proficiency in Sage Construction Management software/Timberline.
  • Strong attention to detail and ability to maintain confidentiality.
  • Excellent communication, organizational, and analytical skills.
  • Capability to manage multiple subsidiary general ledgers and intercompany transactions.
  • Aptitude to prioritize and manage multiple responsibilities while meeting deadlines.
  • Proficient in Microsoft Office and ADP payroll system software.
  • Excellent mathematical skills with a high degree of accuracy.
  • Ability to follow appropriate control and audit procedures and recommend business process improvements.

Nice-to-haves

  • Experience with multi-rate, union, and certified payrolls is a plus.
