About the position

The Payroll Specialist is a key role within the organization, responsible for executing professional payroll-related duties with a strong emphasis on auditing and approving weekly payroll. This position requires collaboration with various levels of the organization to ensure the accurate and timely submission of employee pay records. The Payroll Specialist will utilize the ADP Vantage System to process payroll weekly, ensuring compliance with company policies regarding wage processing and time off. Additionally, the role involves maintaining time and attendance records, reconciling monthly, quarterly, and annual tax filings, and providing exceptional service to employees regarding payroll inquiries. The specialist will also research and resolve payroll tax issues, control company payroll files while maintaining confidentiality, and assist the Corporate Controller, Business Finance Managers, and Accountants with the monthly Payroll/Accounting close. Staying informed about payroll laws, practices, legislation, and industry standards is crucial, as is participating in proactive team efforts to achieve departmental and company goals. The Payroll Specialist must comply with all safety policies and report any unsafe activities to supervisors or Human Resources. Other duties may be assigned as necessary.

Responsibilities

  • Processes payroll weekly using ADP Vantage System
  • Reconciles monthly, quarterly and annual tax filings
  • Maintains time & attendance records
  • Ensures compliance to company's policy relating to processing of wages and time off
  • Provides service to all employees regarding concerns with payroll, research and troubleshooting any inquiries
  • Researches and provides resolution to payroll tax issues
  • Controls company payroll files while maintaining confidentiality
  • Assists Corporate Controller, Business Finance Managers, and Accountants with reconciling monthly Payroll/Accounting close
  • Maintains awareness of payroll laws, practices, legislation and industry standards
  • Participates in proactive team efforts to achieve department and company goals
  • Complies with all safety policies, practices and procedures and reports all unsafe activities to supervisor and/or Human Resources
  • Performs other duties as assigned

Requirements

  • Bachelor's Degree in Accounting or Business Administration or related field; OR 3 years related experience and/or training; OR any similar combination of education and experience
  • Knowledge of general accounting procedures
  • Strong attention to detail & ability to be organized and address a variety of issues simultaneously
  • Ability to meet deadlines & effectively communicate with various levels of the organization
  • Ability to understand the importance of confidentiality and maintain records with integrity
  • Proficient with Microsoft Office (Excel, Word & Email) and associated computer programs
  • Experience working with industry related HRIS programs (ADP experience) would be helpful

Nice-to-haves
