About the position

The Payroll Specialist will play a crucial role in ensuring the accurate and timely processing of payroll across multiple states and employee groups within a national real estate firm. This position requires a detail-oriented individual who can navigate the intersection of technology and real estate, utilizing the UltiPro/UKG system to manage payroll operations effectively. The role emphasizes collaboration, problem-solving, and precision in a fast-paced environment.

Responsibilities

  • Process biweekly payroll for two pay groups using the UltiPro/UKG HRIS system, including off-cycle payments as needed
  • Capture payroll hours for maintenance staff via property management software and ensure all employees are paid correctly
  • Verify timekeeping records and collaborate with supervisors to resolve discrepancies
  • Address and resolve unapproved timecards, PTO, and payroll discrepancies
  • Serve as the main point of contact for payroll inquiries and respond promptly to all issues
  • Ensure payroll files align with the General Ledger (GL) and resolve discrepancies in partnership with Accounting
  • Verify and manage ACH information in coordination with the payroll banking partner and Accounting
  • Provide necessary reporting for payroll, accounting, tax filings and other business functions
  • Pull tax reports, including quarterly 941 tax packages, from the HRIS system
  • Ensure the accurate entry and processing of benefits, deductions and garnishments in UltiPro/UKG
  • Process ACH payments to benefit carriers after each payroll cycle
  • Manage file feeds between UltiPro/UKG and benefit carriers where applicable
  • Audit and reconcile employee PTO balances regularly
  • Oversee employee changes, tax deductions and payroll documentation within UltiPro/UKG
  • Conduct audits to ensure payroll accuracy, operational efficiency and compliance with federal and state regulations
  • Manage federal and state tax setups in new operational states
  • Assist with audit preparations by providing reports and documentation as required
  • Manage year-end reporting processes, including W-2s and other payroll forms

Requirements

  • Bachelor's in Accounting, Finance or a related field preferred
  • 3+ years' experience in payroll processing and administration, ideally in a multi-state organization
  • Must have experience processing hourly and salaried payroll in a 500+ employee organization
  • Proficiency with HRIS platforms and payroll systems; experience with UltiPro/UKG is preferred
  • Strong Excel skills (pivot tables, VLOOKUP, XLOOKUP) and general technical proficiency with MS Office
  • Impeccable attention to detail, organizational skills and the ability to multitask in a fast-paced environment
  • Excellent verbal and written communication skills
  • Experience setting up and managing federal and state tax accounts is preferred
  • Proactive and able to perform duties independently with minimal supervision
