About the position

The Payroll Specialist plays a crucial role in the Finance Team, responsible for managing the bi-weekly payroll process for over 150 employees across three states. This position requires collaboration with Human Resources and Managers to ensure accurate and timely payroll processing, maintaining time-keeping records, and generating various payroll-related reports. The role also involves participation in audits and compliance documentation, making it essential for the smooth operation of payroll functions.

Responsibilities

  • Oversee the bi-weekly payroll process for over 150 employees across three states.
  • Collaborate with Human Resources and Managers to ensure timely and accurate payroll processing.
  • Maintain precise time-keeping records and validate employee information.
  • Prepare, review, analyze, and process the company bi-weekly payroll, including pay changes and deductions.
  • Process commissions and special payrolls, ensuring all necessary updates are made in payroll files.
  • Detect errors, make adjustments, and process off-cycle checks as needed.
  • Review payroll reports pre/during/post processing for accuracy.
  • Research and resolve discrepancies found in audits, providing reports of findings as necessary.
  • Prepare, print, and file payroll reports, maintaining accurate records.
  • Update and maintain various payroll-related reports, including production hours and wages.
  • Process and reconcile 401(k) deferrals and matches, and assist with annual audits.
  • Maintain interactions with state and federal agencies regarding employee wage and tax issues.
  • Ensure compliance with local, state, and federal laws regarding payroll transactions and filings.
  • Assist Managers with timecard exceptions and respond to payroll-related inquiries.
  • Create and maintain process documentation for payroll systems and procedures.

Requirements

  • Confidentiality and attention to detail in handling payroll information.
  • Ability to multi-task and work collaboratively in a team environment.
  • Experience in a high-volume and fast-paced payroll processing environment.
  • Knowledge of payroll reporting, procedures, and regulatory requirements.
  • Proficiency in processing bi-weekly payroll and handling payroll deductions.

Nice-to-haves

  • Experience with ADP payroll systems.
  • Familiarity with 401(k) and HSA/FSA contributions and reconciliations.
  • Strong analytical skills for payroll reporting and audits.
