About the position

The Payroll Specialist is responsible for managing biweekly payroll processes using ADP software, ensuring accurate recording and reconciliation of cash, and providing support for the Director of Finance on various projects. This role requires initiative and the ability to work with minimal guidance, while also maintaining compliance with organizational policies and confidentiality standards.

Responsibilities

  • Prepares bi-weekly payroll and related schedules.
  • Verifies time cards for accrued sick and vacation hours.
  • Organizes and maintains current training curriculum.
  • Prepares bi-weekly sick and vacation accrual balances for all staff and supervisors.
  • Prepares employment verification forms as needed.
  • Prepares allocation spreadsheets monthly and quarterly.
  • Assures accuracy of quarterly and annual Payroll tax filings.
  • Prepares quarterly Site Reports for State.
  • Responsible for entering all new hire/employee changes.
  • Prepares minutes for Finance Committee.
  • Records all cash entries (cash receipts, transfers).
  • Assists in balancing balance sheet accounts.
  • Prepares all grant billings.
  • Covers telephone calls for other Fiscal and Administrative Staff as necessary.
  • Collects and analyzes statistical data as needed.
  • Prepares reports for Executive Director, Director of Finance, and management team as needed.

Requirements

  • AA or AS Degree in business or accounting.
  • Experience with ADP payroll software.
  • Experience in management and training responsibilities.

Nice-to-haves

  • 1 year of payroll experience (preferred)
