About the position

The Payroll Specialist at Mindful Support Services is responsible for the accurate and timely processing of bi-monthly payroll, ensuring compliance with tax laws and regulations. This role involves collaboration with the Human Resources team to maintain employee records and support the Finance team in reporting and reconciliation tasks. The position requires a strong understanding of payroll processes and laws, as well as proficiency in payroll software and Microsoft Excel.

Responsibilities

  • Accurately process semi-monthly payroll for hourly and salaried employees across multiple states, ensuring compliance with federal, state, and local regulations.
  • Handle the timely and accurate payment of employee reimbursements.
  • Collaborate and coordinate with Human Resources to maintain and update employee payroll records including new hires, terminations, employee changes, tax changes, garnishments, benefit deductions and time and attendance records.
  • Assist in the implementation of new payroll system and processes, ensuring a smooth transition and minimal disruption to payroll operations.
  • Utilize ADP Workforce Now for payroll processing, reporting, and employee data management.
  • Stay updated on payroll laws and regulations, and ensure all payroll activities comply with legal standards.
  • Generate and analyze payroll reports, providing insights and recommendations to management.
  • Coordinate with Accounting to ensure payroll transactions are accurately recorded and reconciled in the general ledger.
  • Address payroll-related inquiries from employees, providing timely and accurate information.
  • Perform payroll reconciliations and resolve discrepancies in a timely manner.
  • Maintain accurate payroll records and documentation for auditing and reporting purposes.

Requirements

  • Bachelor's degree in Accounting, Finance, or a related field preferred but not required.
  • Two-year degree in Accounting or related experience required.
  • Minimum of 3-5 years of payroll processing experience, with a focus on multi-state payroll.
  • Past experience in using ADP Workforce Now for payroll processing and reporting preferred but not required.
  • Advanced skills using Excel and other Microsoft Office products.
  • Experience working on payroll implementation projects, including system setup, testing, and training.
  • Strong understanding of payroll laws and regulations, including FLSA, tax withholding, and wage garnishments.
  • Ability to maintain strict confidentiality regarding sensitive information.
  • Exceptional attention to detail and accuracy in payroll processing.
  • Excellent verbal and written communication skills.
  • Strong analytical and problem-solving abilities.

  • Experience with payroll implementation projects.
  • Familiarity with ADP Workforce Now.
