About the position

We are seeking an experienced Payroll Specialist to join our EPIC team in Gainesville, VA. The ideal candidate will have a minimum of 3-5 years of multi-state payroll processing experience and be proficient in using UKG Ready for processing weekly payroll. This role is crucial in ensuring that our employees are paid accurately and on time while maintaining compliance with all relevant regulations. The Payroll Specialist will be responsible for processing payroll for multi-state employees, reviewing and verifying timesheets, and maintaining payroll records in accordance with company policies and government regulations. In addition to payroll processing, the Payroll Specialist will handle garnishments and deductions, ensuring that calculations for garnishments, levies, and child support are accurate and compliant with legal requirements. The role also involves preparing and processing state and federal payroll tax filings, staying updated with changes in tax regulations, and assisting with year-end payroll activities, including reconciliations and audits. The Payroll Specialist will generate and analyze payroll reports for management review, conduct regular audits of payroll data, and address payroll-related inquiries from employees. This position requires strong communication skills to educate employees on payroll processes and policies. The Payroll Specialist will also collaborate with HR and Finance teams to identify opportunities for improving payroll processes and participate in system upgrades and testing of new features in UKG Ready.

Responsibilities

  • Process weekly payroll for multi-state employees using UKG Ready, ensuring accuracy and timeliness.
  • Review and verify timesheets, wage computation, and other information to detect and reconcile payroll discrepancies.
  • Maintain payroll records and ensure compliance with company policies and government regulations.
  • Calculate and process garnishments, levies, child support, and other wage deductions accurately and in accordance with legal requirements.
  • Prepare and process state and federal payroll tax filings, including but not limited to 941, 940, and state unemployment tax returns.
  • Stay up-to-date with changes in tax regulations and ensure compliance with all state and federal payroll tax laws.
  • Assist with year-end payroll activities, including reconciliations and audits.
  • Generate and analyze payroll reports, including earnings, deductions, and tax reports for management review.
  • Conduct regular audits of payroll data to ensure accuracy and compliance with internal controls and policies.
  • Address and resolve payroll-related inquiries from employees, providing clear explanations and support as needed.
  • Educate employees on payroll processes and policies, including the impact of changes in deductions, taxes, and other payroll-related items.
  • Collaborate with the HR and Finance teams to identify opportunities for improving payroll processes and system efficiencies.
  • Participate in system upgrades, testing, and implementation of new features in UKG Ready.

Requirements

  • Bachelor's Degree in Accounting, Finance, or related field (or equivalent experience).
  • Minimum of 3-5 years of payroll processing experience, with a focus on multi-state payroll.
  • Proficient in using UKG Ready (formerly Kronos Workforce Ready) or similar payroll software.
  • Strong understanding of garnishment calculations and payroll tax regulations at both the state and federal levels.
  • Excellent attention to detail and strong analytical skills.
  • Ability to handle confidential information with discretion and integrity.
  • Strong communication skills, both verbal and written, with the ability to explain complex payroll concepts to employees.
  • Certification such as Certified Payroll Professional (CPP) is a plus.
