About the position

The Payroll Specialist at Canyon ISD is responsible for compiling and preparing the district's payroll, ensuring accuracy and compliance with established procedures and regulations. This role involves working under moderate supervision to manage payroll records, process employee wages, and maintain accurate documentation. The position requires effective communication and organizational skills to collaborate with various departments and resolve payroll-related inquiries.

Responsibilities

  • Prepare accurate district payroll for distribution to employees following established procedures.
  • Receive and audit time sheets for all district employees, calculating wages, salaries, hours worked, overtime pay, and determining withholdings, deductions, and net pay.
  • Balance payroll earnings and deductions; initiate related transfers of funds and deposits.
  • Maintain district payroll registers, employee payroll information, and other original documentation in an orderly and accurate manner according to state, federal, and district requirements.
  • Prepare and post all payroll changes including payroll deductions, salary changes, termination, and new employee information.
  • Compile, maintain, and file all reports, records, and other documents as required, including maintaining payroll and related files such as payroll records, absent-from-duty reports, and service records.
  • Prepare and submit payroll reports and forms required by various regulatory bodies including the IRS and Texas Workforce Commission.
  • Work cooperatively with human resources, principals, department heads, and employees to ensure accuracy of reported information and resolve payroll problems.
  • Respond to requests from financial institutions regarding verification of employment.
  • Maintain confidentiality of information and follow district safety protocols.

Requirements

  • High school diploma or GED
  • Two years of college coursework in accounting (preferred)
  • Knowledge of basic payroll accounting procedures
  • Ability to maintain accurate and auditable records
  • Proficiency in using software for spreadsheets, databases, and word processing
  • Effective organizational, communication, and interpersonal skills
  • 2 years of payroll accounting experience
